We are seeking a highly organised and detail-oriented individual to join our team as an Accounts Receivable Specialist / Executive Assistant. This role will be responsible for managing accounts receivable functions while providing administrative support to executives. Key Responsibilities: Manage accounts receivable processes including invoicing, collections, and reconciliations. Monitor accounts to ensure timely payments and follow up on overdue accounts. Prepare and send invoices to clients accurately and in a timely manner. Process incoming payments and reconcile them with the accounts receivable ledger. Investigate and resolve discrepancies or issues with invoices or payments. Communicate effectively with clients regarding payment status and resolve any billing inquiries. Assist executives with administrative tasks such as scheduling meetings, managing calendars, and making travel arrangements. Prepare and edit correspondence, reports, and presentations for executives as needed. Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items. Manage executive's email inbox, filtering and prioritizing messages as necessary. Qualifications: Proven experience in accounts receivable or related financial role. Proficiency in accounting software and Microsoft Office Suite, particularly Excel and Outlook. Strong attention to detail and accuracy in data entry and financial transactions. Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and executives. Ability to multitask, prioritise, and manage time effectively in a fast-paced environment. Discretion and confidentiality when handling sensitive information. Previous experience providing executive-level administrative support is a plus.
