Secure digital onboarding portal with Salesforce integration
We are Citipost Mail (Citipost Ltd), a UK-based B2B mail and communications provider, seeking an experienced developer or small team to build a secure digital customer onboarding portal and workflow for new business accounts. Our current process is manual and paper-heavy (Application for Credit, Agency Application Form, Customer Service Agreement and T&Cs, Direct Debit mandates). Average onboarding from application to fully signed CSA is around 15 days; we want to significantly reduce this through automation, better UX, and tighter workflow control. A core requirement is proven Salesforce CRM integration experience, as the portal must integrate with our Salesforce instance with both push and pull data flows. Scope Customer journey Sales triggers onboarding and generates a secure, unique link for the prospect. Prospect completes an online journey (standard or agency account), with conditional fields and document sets based on account type and payment method. Prospect uploads supporting documents (e.g. company letterhead, DD mandate) and signs digitally. Save-and-resume, accessible UI, and validation for key fields (company registration number, postcode, VAT, bank details). Workflow and approvals Automatic routing to Credit Control for checks and setting credit terms. Generation of the correct CSA pack (full CSA + T&Cs or CSA form + online T&Cs link) plus DD mandate where applicable. Internal counter-signature flow for Commercial/Legal. Status tracking from “Onboarding” to “Active” once fully signed and approved. Automation, dashboards, reporting Configurable email reminders for incomplete forms and unsigned CSAs/DDs, with escalation when SLAs are breached. Internal dashboards for Sales, Credit Control, and Support showing pipeline, live status, bottlenecks, and overdue tasks. Basic analytics on onboarding duration, drop-off points, and signed/returned agreement rates. Data, integrations, compliance Capture all existing form data in a structured database: company details, trading/registered addresses, VAT, contacts, services required, anticipated spend/volume, agency flags, payment terms and methods. Role-based access control and full audit trail (submissions, approvals, comments, document versions). GDPR-compliant data handling, encryption in transit and at rest, aligned to UK data standards. Salesforce integration (essential) Push onboarding data, documents, statuses, approvals, and signed milestones into Salesforce. Pull relevant Salesforce data to pre-populate forms, validate records, and avoid duplicate entry. Advise on object mapping, API approach, authentication, sync logic, and error handling. Please only apply if you can show previous work integrating a custom portal or workflow system with Salesforce CRM (bi-directional if possible). Other integrations & admin Ability to integrate with finance systems (e.g. Sage) and e-signature platforms (e.g. DocuSign, Adobe Sign). Admin interface to manage form fields, workflows, approval rules, email templates, and SLAs without code changes. Scalable, flexible architecture to support higher volumes, new product lines, and potential internationalisation. Deliverables Technical discovery and proposed architecture/tech stack. Design and build of the onboarding portal (front-end and back-end). Salesforce CRM integration (push and pull). Implementation of agreed finance and e-signature integrations. Dashboards/reporting for core onboarding KPIs. Documentation, handover, and admin training. What we’re looking for Proven experience delivering secure B2B onboarding/workflow portals with multi-step forms, approvals, and e‑signatures. Demonstrable Salesforce integration experience with a custom portal or external application. Experience integrating with CRM/finance systems and e-signature tools. Strong understanding of data security, GDPR, and role-based access. UK-based or very familiar with UK data protection and compliance. Please include in your response Links/examples of similar portals or Salesforce-integrated workflow systems you’ve built. Details of your Salesforce integration experience (including any bi-directional integrations). Proposed tech stack and approach. Project Description: I am looking for an experienced developmental editor who specializes in the cosy mystery genre to provide a comprehensive Manuscript Evaluation (editorial letter) for my completed rough draft. About the Book: Genre: Cosy Mystery Word Count: Approx. 100,000 words (I am aware this is on the longer side for the genre and am open to structural advice on where to tighten and trim). Current State: The work has gone through several drafts. The prose is relatively clean, but the overarching mystery mechanics need a professional eye. What I Am Looking For: I do not need line editing, copyediting, or proofreading at this stage. I am strictly looking for big-picture feedback delivered via a detailed step-by-step editorial letter. I need you to read the manuscript and evaluate: Plot Holes & Logic: Are there gaps in timelines, suspect alibis, or character motivations? Mystery Mechanics: Is the balance of clues and red herrings effective? Does the reveal feel earned but not overly predictable? Pacing & Structure: Where does the story lag? Where can the narrative be tightened to bring the word count closer to genre standards? Character Arcs: Does the amateur sleuth’s internal journey make sense alongside the murder investigation? Ideal Freelancer Requirements: Proven experience editing cosy mysteries (please mention past titles or authors you have worked with in your proposal). A firm understanding of cosy tropes and reader expectations. Honest, constructive, and actionable feedback. How to Apply: When submitting your proposal, please provide your flat-fee rate for a 100,000-word Manuscript Evaluation. Additionally, please include a brief sample of a past editorial letter or structural critique you have done (redacted for confidentiality is perfectly fine) so I can get a feel for your feedback style. # Background We run 16 self-guided treasure hunts in cities across the UK. Customers play the treasure hunts on their phones, following fixed routes through public streets, parks, squares and city-centre areas while finding clues in their surroundings. Occasionally, an event in a city can disrupt a game. Examples include parades, protests, markets, festivals, filming and large sporting events. These events may block access to clues, streets, landmarks, squares, or other public spaces used in the game. We monitor upcoming events so we can decide whether to: * block customers from booking on dates with serious disruptions, or * warn customers that something potentially disruptive is happening. This matters because if players cannot access part of the route, they may call us during the game (which is stressful to handle), assume the game is broken, or abandon their game altogether. Different disruptions have different levels of impact: * If the start of the game or a clue location is inaccessible, we may need to block bookings or modify the game. * If a square is closed but there is no clue in it, players can often go around it. In that case, we would usually warn them rather than block the game. # Trial task This task is to assess whether 3 events would disrupt our games. This is a trial task. If successful, we are looking for ongoing support with this task and other admin and operations tasks. Below are 3 events in Bristol and York. The task is to research and assess whether these events will disrupt the treasure hunt route in the relevant city. Use the event information, route maps, and your own web research needed to make your decision. Event 1: (Bristol): https://www.bristolharbourfestival.co.uk/ Event 2: (Bristol): https://www.lovesavestheday.org/ Event 3: (York): https://www.futuresoundgroup.com/post/self-esteem-announced-as-live-at-york-museum-gardens-headliner # Recommend an action for each event For each event, review the event details, the route map, and any other reliable sources you can find. Then recommend one of the following 4 actions: 1. Warn players Recommend this when the event affects part of the route, but players should still be able to complete the game. For example: * the area may be busier than usual * players may need to take a small diversion * part of the route may be less convenient, but no clue locations seem to be affected Please write a short message that will be shown to players that book this date, e.g. “The Yorkshire Marathon is on, making the city busier than usual.” 2. Escalate to Paul & Ian Recommend this when the event may affect one or more clue locations, block access to a key part of the route, or make the game difficult or impossible to complete. If you recommend escalating it, explain clearly: * which part of the route is affected * whether any clue locations appear to be affected * why you think the disruption is serious * what information you used to reach that conclusion We will then decide whether to modify the game, warn players, or block customers from booking. 3. No action needed Recommend this when the event does not appear to affect the route in any meaningful way. Briefly explain why you think it is unlikely to disrupt the game. 4. More information needed Recommend this when the event might disrupt the game, but there is not enough information yet to decide confidently. Explain: * why it might cause a disruption * which part of the route may be affected * what information is missing * what you would do next to confirm it For example, the next step may be checking with the organiser, checking with the local council, or waiting for a route map or road closure notice to be published. # Deliverables Please deliver the work as a Google Doc. For each of the 3 events, provide: 1. Recommended action: Warn players / Escalate to us / No action needed / More information needed 2. Notes: an explanation of why you reached that recommendation, including which part of the route may be affected, if relevant 3. Source links: links to any pages, maps, event websites, council pages, road closure notices, or other sources used to understand the event # Additional resources If selected, we will also provide: * these instructions in Google Docs format * full route maps showing clue locations * a worked example of how we normally approach this task # The priority is accuracy It is important that this task is done precisely. Our priority is accuracy over speed. For that reason we are looking for a careful, detail-oriented human (and definitely not someone just using AI!) # Time limit: 3 hours If you reach 3 hours, please stop and give us your notes so far. It's not a problem, we just want to understand how you work. Thank you! Paul & Ian Founders
