Organizing My Customer Response Templates for Faster Replies

Replying to common customer questions takes too long because my existing response templates are scattered and inconsistent. I have many past replies saved across email drafts, documents, and chat snippets, but there is no clear system: similar questions have multiple versions, some templates are outdated, and I waste time searching for the right one or rewriting from scratch. I need someone to collect all these existing templates and past responses, then organize them into a clean, easy‑to‑use internal template library. You will receive: A set of my current response templates and past replies (email drafts, copied chat responses, documents). A short list from me of the main question categories I deal with (for example: billing, account access, product usage, returns/refunds, technical issues). Any notes I have about which templates I prefer or use most often. Your tasks will be: Go through all the templates and past responses I provide and identify the core question each one addresses. For each distinct question, create a single, standardized template entry that includes: A clear, consistent question title (e.g., “How do I reset my password?”). Notes on when to use this template and any common variations (short chat version vs. longer email version). Remove duplicate or near‑duplicate templates, keeping the best version and discarding outdated ones. Ensure tone, formatting, and structure are consistent across all templates (greeting style, sign‑off, how steps are listed, level of detail). Organize the library so it’s easy to search, either as a structured document with clear headings or as a simple table/spreadsheet with columns for Category, Question, and Template. Deliver the final template library as one file (Google Doc, Word file, or Google Sheet), plus a simple index showing all categories and questions covered. With this library, I should be able to: Find a relevant template quickly when a common question comes in. See which category a question belongs to without scrolling through many files. Hello I have a small Wordpress/Woocommerce monthly cash competition website whereby people who wish to be placed in that month's draw buy tickets, usually in bundles of 5-10. The issue is, is that the participants have log-in each month to re-enter.
