Background:
The client are sub-contract machinists who work across a wide range of industries. As such no two jobs are the same and all will require different materials, different processes and potentially different finishing treatments before being shipped/collected.
Current Situation
Currently the company is using a system called EMAX for all its MRP needs. This system is actively used and would not be readily replaced in the short term. The way the system is being used currently is to log enquires, orders and produce job cards but this does not give an overview of when orders are due, late and why that is leading to a lot of lost time chasing orders.
Key Features
1. Automated updates to customers about where there job is (via email)
2. Automated updates to us when a project will become overdue.
2. Easy to use back interface (preferably via a tick box system) so as to not copy across all the data
3. Client Login so as to see the updates on the project
4. A smart updater on project deliveries for example if we are waiting on material and that is two days late, then the project delivery date should be changed to two days late.
Process Map
I have tried to give a full overview on the process map and project lifecycle with available options.
1- Order Placed. – when an order is placed we would copy and paste the key details of the project which would include:
Project overview
Our contact email- for automated updates on the project to us
Their contact email – for automated updates on production stages
Job Overview: A text space that can be copied and pasted into the field
Estimated due date: typically this is not a specific date but 3-4 weeks.
2- Production Phase 1: Materials
In this stage there would be two options:
This is free issue material
We will order your material
3. Production Phase 2: Machining
The options in this stage would include:
CNC Milling
CNC turning
CNC Grinding
HVOF Coating
Production Phase 3: Finishing Treatments
The options here would include
Heat Treatment
Plating
Coating
Painting
Other process
With these options ticked an automated message would then be sent to the customer to give an overview on the project.
From this stage there would be a simple back end for ourselves to use with tickboxes at various stages which would then inform the client. I have tried to map these out below:
Materials – Let’s say that on average materials should be bought within a week.
Tickbox- when the material has arrived which would then inform the client
Tickbox- if the material hasn’t arrived after 1 week that would email the client to inform them of the delay.
Machining
Tickbox- when the machining is done which would inform the client
Warning – an internal a few days before the part is due to tell staff that this part might be late
Tickbox – that gives the client advanced warning of why their part is delayed, again this would be done through a simple tick box that would formulate an email based on responses.
Finishing Treatments
Tickbox- when finishing treatments are done to inform the client
Warning – an internal warning when the parts will be late so that the client can be informed there would not need to be an option here as the response will always be the same.
Final Email- the final tickbox option would simply be to confirm that a job is done and ready for collection.
Reality
Currently we have hundreds of orders every month, so the key element is that this needs to be quick and easy for us to use. It also has to factor in that for the client with a large amount of orders on they will not want updates on everything. I would suggest some sort of option from the client side that would give them either immediate updates or weekly updates.

Would you be able to provide me a bit of a simplified overview of what you're looking for? There's an awful lot to process in the job listing. What -type- of app are you looking for? Desktop, mobile, web etc? (I am an Android developer). Do you have any wireframes in place for a basic overview of the functionality, access to APIs for sending/receiving data from/to the system?Oliver G.18 May 2017Hi there, I thought it best to give as much information as possible. It would need to work online via a PC. The basic functionality is that it gives us an oversight of what jobs are due, and through a tick box system allows us to quickly update the client.
