Database management system (DBMS): Microsoft Access
Description of requirements/functionality: Overview:
A small fabric shop, needs a database to manage it's catalog of fabrics. The fabrics are grouped by manufacturer with a one-many relationship. Each fabric is given a user provided code (called an AA Code) and a label is then attached to the physical fabric sample.
A customer will browse through the fabrics and select the ones they like giving the AA Codes to a member of staff. The staff can then look up the fabric by it's AA Code to retrieve the fabric details, dimensions and Retail Price. The manufacturer name, trade price and fabric name are hidden from the customer, preventing them from trying to obtain the fabric from the trade manufacturer directly.
When fabric price list come into the shop. The staff need to be able to look up the fabrics, by their actual name and manufacturer code and update the trade prices and retail prices. The staff will need a complete view of all the fields for this task, as well as the ability to add and update the manufacturer's details.
The existing database is in Access 97 format. I have upgraded the database to Access 2007-2016 and cleaned up all the data.
Brief:
Design and create the front end of a database used to allow viewing, searching, adding and editing fabrics (textiles) for the shop.
The back end of the database is very simple, currently contains two tables: manufacturer and fabric, although more tables may need to be added.
The back end database will be stored on a designated workgroup computer. The front end will be attached by linked tables to the back end database file and will need to allow for concurrent access to the data on up to 5 client computers.
I have attached a couple of PDFs to give a general guide to the database and ideas for how the front end may look. I would like the design to be modern, clear and easy to use.
CMS and Admin requirements: The front end will be used in a shop to view and edit . Only staff will use the software. Two views of the fabric data need to be presented:
1) A complete view when, viewing, searching and editing manufacturers and fabrics - which will be password protected. This screen should be clear and show all the fields of the fabrics and manufacturers. Showing the fabrics in a list or datagrid could help, as you can scroll through the fabrics to quickly find one.
2) A reduced view, for when a customer is present in the shop, that shows the retail price and dimensions of a fabric that is searched for by it's internal code (AA Code). This screen should be large and clear for the customer to see.
Specific technologies required: MS Access 2016, VBA, Windows Forms and Controls and MS Excel
Extra notes: The environment is a Windows 10 workgroup, running Microsoft Office 2016 with Access 2016.
The resolution of the screens being used will be 1920 x 1080. The front end should open with
the main toolbars and menus hidden, and look suitable when full screen at a resolution of
1600 x 900 i.e. having a border around the forms is not an issue above this resolution.
Ideally, the user interface should have a modern feel to it and not be entirely grey.
Tooltips should be used where possible.
Any code in forms and modules should be well laid out and include comments. Functions and
sub procedures should have a header comment explaining what the code of that section is
designed to do. Auto generated code should have comments also.
The tab stops should be in order allowing tabbing through the textboxes on the forms.
