Description
Experience Level: Intermediate
We’re looking for an experienced Google Workspace expert to build out our internal enquiry and tender tracking system using Google Forms, Sheets, Calendar, and Drive.
We have a clear SOP already written — now we just need someone to build the actual system, with full formatting and automation.
✅ We need:
1. Google Forms (x5):
• Enquiry Form (external, client-facing)
• Pre-Qualification Form (internal use)
• Site Survey Form (mobile-friendly)
• Bid/No-Bid Form
• Feedback Form
2. Google Sheets:
• Enquiry Tracker Sheet
• Tender Tracker Sheet
These should include:
• Linked form submissions
• Conditional formatting (e.g. won/lost/pending colour codes)
• Automated deadline warnings (e.g. days until submission)
• Formulas for calculating follow-up periods
• Dropdown menus for project stages
3. Google Drive Folder Automation:
• Automatically create a project folder using client name and project title when a form is submitted
• Store PDF copy of form response in the correct folder
• Auto-link Drive folder back to the Tracker sheet
4. Google Calendar Automation:
• Auto-schedule deadlines, site visits, and follow-up tasks in a shared calendar
• Pull dates from form responses
