General information for the business: Professional Services Firm - Improvements to Existing MS Access Database
Database management system (DBMS): Microsoft Access
Description of requirements/functionality: • Automation of reference numbers which are currently input manually.
• Addition of a further field within one of the tables to allow a further reference number for sequential invoices.
• Simplification of data entry throughout the database (eg. calendar entry for date fields default, but overwrite-able, calculation of VAT ability to copy complete sub-form data to a new record where most of the data is unchanged).
• Improved ability to navigate records, particularly for new staff who are less familiar with the database's structure.
• Improved functionality for job management. By this I mean ability to track job status assisting with meeting deadlines and completion of tasks. As you can probably see, the current form sub-form includes five fields in connection with this at the bottom, but in reality, these are rarely used at present due to the system being a little cumbersome and also inadequate queries / reminders linked to these fields.
• The ability to produce mail-merge documents from within Access, rather than having to go into a separate Word document and find the correction record, would also be very helpful.
Extra notes: General advice on the ways in which we can make the programme more efficient, functional and user-friendly, particularly for new users. Sample copy of database available by email.
