Time
You can bid for the whole project or options one or two separately (please note if you bid for both options, you may only win the contract for one option. This depends on the level of your experience and competence in these areas against that of other bids for either or both options).
The work for this task is required immediately. The work can easily be done working remotely and at whatever time of the day that suits – however some tasks, due to their nature, will need to be completed during working hours. You will need to be available to respond to calls from speakers, partners and other people requiring information within one working day, ideally sooner.
The main bulk of this task will need to be completed by no later than 27th May.
There will be additional work required for securing any new partners, speaker gaps and preparing new copy as we progress. We would estimate this to be an additional 10 - 20 hours, but this will be agreed following successful completion of the first stage.
Output
All speakers, partners and marketing channels confirmed and finalised. All copy for speaker titles, introduction text prepared and copy checked. All speaker and partner logos, photos and biogs sourced and prepared for hand over to designers and web editors. Partner and speaker contact details prepared into excel for handing over to the data team.
Brief
This one day convention for the public sector follows a highly successful convention for the third sector. The one day convention currently has about 50% of partners and speakers and awaiting confirmation from more. There are some speaker gaps that require researching for potential speakers, approaching and securing. In addition the current speakers and partners require liaising with on preparing copy and finalising agreements for the marketing channels and promotion.
Skills Required
- Strong intuition and ability to think independently of a team
- Strong communication and persuasive skills
- Highly competent in producing conference agendas
- Highly competent in internet research
- A strong understanding of digital communications and social media use
- Ideally a good understanding of the public sector market
- Ability to be self managed remotely
- Strong organisation skills and keeping good systems of records
Tasks
Liaise with confirmed partners and speakers
- Source logos, photos and biogs from each speaker who has confirmed (some of these have already been sourced – we estimated this task will be required for about 15 speakers)
- Prepare a speaker contacts and information sheet for each speaker, using excel with all necessary information completed
- Send a welcome briefing pack to each speaker
- Identify speakers who may provide additional marketing channels or be interested in sponsorship or exhibiting or who have strong networks either through social media or in an additional role they may have (we will agree with you which ones you think you follow up on independently and which ones to pass on to our team to call)
- (same tasks as above for all partners and sponsors secured)
Research speaker gaps and secure additional speakers
- Research any gaps identified in the programme and identify options for speakers
- Research any gaps identified in the programme for partners
- Make approaches, using templates, on behalf of our CEO to secure speakers and additional partners
- Set up calls with potential speakers and partners that require a more detailed conversation with our CEO or operational team (we will agree with you which of these calls you can take on)
Optional (dependent on skill set)
Prepare a convention marketing timeline with all marketing channels
- Prepare a list of marketing channels offered by partners, sponsors and speakers and build into a timeline
- Research all potential marketing channels through advertising, social media platforms, networks, other events and conferences
- Prepare a marketing plan and timeline detailing all the marketing channels, deadlines and task is required to implement this plan (including a strong use of social media and digital comms)
Draft all convention marketing copy
- Using the images, logos and text from speakers prepare a brief for handover to the designer for the marketing brochure
- Draft marketing copy for the brochure using the template for the previous successful convention
Preparing data and sources of marketing distribution
- Prepare a list of data required for the convention delegates we are targeting
- Prepare a list of data gaps against that list
- Research and identify potential sources of data that can be acquired in the most effective and minimum cost way
