Small business help pls. Admin processes set-up & IT systems working smoothly

General information for the business: I teach Hypnobirthing classes in South East London

Target customers: Pregnant couples
Description of Business Development: My business is growing more quickly than I thought it would. I am great at teaching hypnobirthing but not so good at being organised and business minded. At any one time I have upcoming groups to arrange, existing clients to check in with and new clients to respond to.
I need help getting in place the systems and processes which will make my business more efficient, smoother and organised, so that I can focus on giving my clients a really great hypnobirthing experience.
I want to have all my technology, information management and devices working well so I can easily update everything going forward. As such, this is probably a big one off, but with the possibility of further support if of interest.
In particular, I need help with the following:
- I want to be able to access my calendar, emails and all important documents from my Mac, iPhone and Lenovo tablet - someone who can help ensure all are linked and explain what on earth iCloud versus Google Drive versus Google Plus etc and how they all can help me would be excellent!
- Since changing the name of my company my email account hasn't worked properly. I need help ensuring my emails are working well! My domain is currently with Arvixe but I am considering moving to 123 Reg as they've been so terrible. I need someone who is able to help me work out whether this is worth doing and help me do it if so (or work better with Arivixe's systems).
- I need to send reminders to couples before and after the classes and I would like a system to ensure this happens smoothly every time - are there systems that can be put in place so it can be automatic?
- I donate a percentage of my course fees to charities supporting safe births. I would like this to happen automatically or at least to be easier to do.
- I am juggling work with looking after 2 kids. I'd love help with managing my calendar. In particular:
- linking it to my husband's
- accessing it from my Mac, iPhone and Lenovo tablet
- I need help developing a really good excel spreadsheet that can easily be updated and used to access all my client information
- I'd possibly like help with best ways to reach new audiences, but only after I've got these systems in place to ensure my existing clients feel loved and I can regain my sanity!
- My husband and I share an ancient Mac which is as slow as a snail. I'd really appreciate some help sorting the computer out so it works better, although I could just take it to PC World Knowhow for help.
Extra notes: I have another exciting parenting project in the pipeline and if this goes well I would see it as a working relationship that could continue if of interest. Equally if someone is interested in simply getting me happily set up and nothing more, that's fine too!

what budget you got on a monthly basis for all these (including my time) ? ballpark would do.
one off in this case wont be enough, as parts can be done quickly, parts will take few months to optimize, others require outsourcing. best for you to gradually build it over coming months so you wont get lost. -
Hello Zoe, this sounds like a full-time job to me. So how much is your hourly rate or do you perhaps wish to place me on a monthly salary? I can get your business up and running smoothly as far as all your IT needs are concerned.
