To Design and develop an Online Legal Case & Practice Management System.
The essential features that the system would need to have therefore are as follows:-
1. All the usual features that you would find in a basic Case Management System (i.e. document production, database, history of activity on the file, reminders of key dates, account ledgers on each file to assess how much money has been spent, dictation to be uploaded to typists so they can listen to what the solicitor and/or fee earner had done on the file in order to produce the letters etc.).
2. Interact with the government portal/website ( https://www.rapidclaimsettlement.org.uk/ ) as this is a vital requirement because all road traffic accident’s within the UK need to be submitted on this website otherwise insurers would not respond and the client’s case would not progress.
3. The ability for incoming post and documents to be scanned to email to be sent to the remote user.
4. The ability to send and receive emails directly from the web site.
5. Remote users should only be able to access their own file (and not see files belonging to other users).
6. The remote users will produce their own work (i.e. outgoing letters and court forms etc.) and, they would need to be able to submit all of that work at the end of each working day as a bulk submission in time for hard copies (and their attachments) to be printed and despatched in the post.
7. Remote users would need to be able to upload their own documents onto the system (for example documents provided to them by their own clients such as pay slips, bank statements and photographs etc.).
8. Users would need to be able to produce electronic Court bundles by selecting the required documents which are already on the particular claim (i.e. the documents that they have created or which have been scanned to them or which they have uploaded themselves) and such electronic bundle would need to be paginated (i.e. each page should be numbered and an index should be produced).
9. Emails sent from the system would need to be authorised by a Supervisor before they were sent. The user would submit the outgoing email for authorisation therefore, once authorised the email should go from that users email address, the user should get confirmation that it has been sent and any reply should go direct to the user and not to the Supervisor.
10. There should be a members section of the web site so that users can share information (presumably via a forum) and also access useful information (i.e. precedents or terms of use etc.).
11. Experts who have been instructed should be able to log in and up load their own report etc.
12. Clients should be able to log in and view their own particular case (on a read only basis).
13. Remote user should be able to send a fax and an SMS from the web site (although it would need to be authorised in the same way as emails).
14. We would need to be able to extract management information from the web site in relation to individual users (i.e. last log in, last date on which particular files were worked on, limitation dates and other key dates etc.).
