TOUR ACCOUNT MANAGER
AMAZING STUDENT TOURS/BLACK HISTORY TOURS
Our Tour Account Managers are responsible for the production of all tour planning aspects of our student educational and performance tours for Middle and High school students traveling to many exciting destinations throughout the United States. We work closely with hotels, restaurants, museums and numerous historical and educational sites to build unforgettable educational tour experiences. BHT also provides travel procurement services for individual and group travelers.
Our Tour Account Managers are responsible for organizing, planning and coordinating tours for groups and/or individuals. They are involved with every stage in the life of our tours, from itinerary research and development, to requesting and confirming tour arrangements with local suppliers, creating trip budgets and pricing, and working with sponsoring organization staff and tour leaders to make sure each departure is seamless. The ultimate goal is to reduce production lead time and delivering final itineraries for our customers for an optimized customer experience.
To excel in this role, Account Managers must be highly organized, with close attention to accuracy and details; with excellent written skills, hard-working, with excellent project management skills and commitment to meeting deadlines; and last but not least, flexible and creative in managing day-to-day problems and figuring out the best possible solutions to challenging situations.
Account Managers are responsible for planning and fine tuning all aspects of a complex product portfolio to ensure operational efficiency and a seamless customer experience. Bring your energy, initiative, passion for customer experience, and excellent organizational skills to this dynamic account management role. Responsibilities will change by the day, week and month and will include:
• Provide professional assistance for incoming customer telephone calls for service and sales
• Maintain the highest degree of telephone etiquette on all calls taken
• Conduct outbound calls as needed (collections, trip intake, requested call-backs, questions, complaints, etc..)
• Update and maintain reservation information in accordance with company guidelines
• Administrative responsibilities including data-entry in the CRM and quality assurance
• CRM – enter in lead/customer data, travel info, vendor contact info and reservations, set tasks and reminders to
facilitate management of the tour planning and the travel procurement process
• Works with client to research, develop and customize itinerary elements for each trip
• Requests and confirms arrangements with destination management companies, cruise lines, hotels, coach
companies, local guides, guest lecturers, and other service providers
• Works with COO to reconcile all financial aspects of each tour
• Edits pre-trip documents to prepare travelers for their journey; audits passenger manifests and communicates
key passenger information to ground agents and vendors
• Briefs tour leaders and prepares them with all necessary manifests and detailed itinerary information.
• When your assigned groups are traveling, the Account Manager is the point of contact for the group leader and
will cover all aspects of tour management and coordination. This will require accepting phone calls being for
phone calls after hours and weekends when the group is traveling.
• Coordinates passenger evaluations and staff trip reports
• Reviews evaluations and trip reports to refine and improve future tours
• This position requires a positive attitude, entrepreneurial spirit, a great deal of multi-tasking, and a solution-
oriented attitude to continually innovate our production capacity and customer experience.
• Reports to Chief Operating Officer, but also supports the President as needed
• Assume responsibilities for other projects as assigned
• This job description in no way states or implies that these are the only duties to be performed by the Account
Manager. At any time, your supervisor may assign other job-related duties, that must be performed that may
have not been previously stated.
SPECIAL REQUIREMENTS
• Must be available to work shifts – Monday through Friday from 8:00 AM to 3:00 PM EST; 2:00 PM to 9:00 PM EST.
When tours are on the road, the hours will be adjusted to be on call in case of emergencies, after hours.
