Description
The vision is to design, build, and manage a successful set of media platform operations via a website that will be used to communicate and engage with members, guests and other third parties. We plan to use these media platforms as tools dedicated to empowering and growing our membership. These will be achieved by maintaining frequent dialogues with members, prospective members, and guests to encourage fellowship, growth and development within our community.
We are seeking to execute the media strategy in 2 phases which are as follows:
• Phase 1 – Focus on setting up:
1. A website dedicated to our community
2. Wholesale / Bulk SMS (short message services), i.e. text messages, to members, friends, and guests
• Phase 2 – Set up a range of social media platforms as alternative methods of communication with members, friends and guests of our community
Phase 1
1. Website
We propose setting up a simple website with a clean, clutter-free layout, which will be used for the following 3 purposes:
i. Information Board
The website will be the first point of contact for all members and third parties seeking information on:
• Weekly meetings (i.e. start time; details; etc.)
• Special meetups (e.g. Annual General Meeting; etc)
• All upcoming events. [These will be advertised as banners on the home page as well as have their own dedicated page(s)]
• Monthly members’ birthday, anniversary, and other special greetings
• Monthly team rotas (i.e. leaders, helpers, hospitality, etc)
• Weekly, monthly and annual themes and focus points
• The directory of all members (including contact details), the community’s structure, and set up of the senior members’ team
Some of these notices and details could also be shared with specific target audiences via wholesale / bulk SMS (see below), and they could also be incorporated into phase 2 of the strategy.
Note 1 – Some of these details will only be accessible by members that have signed-up and logged-in to the members area of the website, whilst other details will be accessible by the general public.
Note 2 – We would need to include an “Add to Calendar” button for all information board listings.
* Also, we will have to offer members the opportunity to opt out of providing their contact details if they so wish.
ii. Reference Library
The website would also serve as an archive where users can access:
• Literature references and notes from our group leader
• Training material and syllabus details (when available)
• Slide shows and all other materials from guest speakers
• Minutes and notes recorded from all annual general meetings, team meetings, and other member meetings
• Picture galleries of selected past events
• Membership Code of Conduct Manual
• All other selected presentations, documents, and material
iii. Outbound Communication Material
We also plan on using the new community website as a platform for sending bulk SMS (short message services) i.e. text messages.
2. Wholesale / Bulk SMS Broadcast
This process involves sending a large number of SMS (short message services), also known as text messages, to the mobile phones of a predetermined group of recipients, similar to that used by GP surgeries and the NHS in the UK.
i. Outbound Communication Material
We propose to use bulk SMS as an alert broadcast to remind recipients about important upcoming events, or tasks that need to be completed by recipients.
We would first need to get consent from the recipients, and we would also offer recipients the option to opt out at any time if they so wish.
Bulk messaging is similar to WhatsApp but the challenge is that not everyone with a mobile phone can access WhatsApp. However everyone with a mobile phone can receive SMS / text messages.
Phase 2
1. Social Media Platforms
We propose setting up a selection of social media platform accounts to communicate and engage with young people. This phase will start only after Phase 1 of this strategy has been successfully set up, maintained, and established.
Our initial shortlist include YouTube, Instagram, and Facebook however extensive review of these choices will have to be completed prior to starting Phase 2 so that we can determine the viability and relevance of our chosen social media platforms.

Have you determined who would be your bulk messenger provider? You need a 3rd party provider to be able to offer this service to your members?Christopher J.06 Dec 2018No I have not.
Robert B.06 Dec 2018It is important to do this first as they come with different rates and also provide documentation for implementation on your site. It might require API integration so it would be great to first get this sorted so the scope and approach is clear. Incidentally, are you going to be using the sms on the admin end only or are you planning on allowing your users to use the feature as well?
