I'm going to edit this post to include the way the buying group operates, to give better understanding to my requirements as outlined below.
Note this is a 'group' of members, not an online store that is open 24/7.
I update pricing (currently on the excel spreadsheet forms, hoping to switch to website).
Then I open the selected order/form (each supplier has a different order form, we alternate which one is open, so I need to be able to open/close selected product lists/order forms independently).
Members place orders whilst it's open (approx. 1 week), make payment, then I close the order at the end of the predetermined open period.
***This is where I want the webpage to be able to collate the orders & tell me exactly how many of each product have been ordered - as I do not hold stock, but order the products from the supplier AFTER members have made their orders with me. This is the most important part, as it will save me hours of collating the orders manually in excel.
That is how things operate, it is this process that I need to streamline through the use of a webpage.
I have attached a copy of ONE of the current order forms we use, for members to place orders with us. This form is then collated (currently about 60 orders at a time, but we have over 600 members total). This should give you an idea on the volume of products to be listed in each order form.
General information for the website: Low profit wholefoods buying group - I want to streamline ordering/sales by doing it online rather than manually in excel spreadsheets.

Description of requirements/features: Apologies for the erratic order of information. This does not have to be a custom website, if there is something more suitable, as specified in the options, but I could only select one.
I have a low-profit bulk food buying group, which I am taking over from another member, which currently operates orders through the use of excel spreadsheets & manual collating of orders.
I am looking to simplify this process as much as possible, while keeping costs low... I'd prefer a bigger initial outlay but no unnecessary ongoing costs to factor in, if possible.
The ordering style of the group may make things difficult, as we open orders for selected time period, each supplier order is opened at a different time, each supplier has a great many products (currently the 3 main ones have 455 items, 197 items, 855 items - some the same product in varying sizes or flavour variety, but most are separate products.
If it is possible what I would like to achieve is a simpler ordering system for members, something that will collate the orders for me (this would be the biggest single time saver I could possibly have, so I don't need to manually collate order items), something that is easy for a completely clueless website user like myself to regularly edit prices & add/remove products, the ability to open/close specific order lists. If invoices are issued through the website I need the ability to apply account credits and refunds. Search function & ability for members to view past orders would be good, although the latter not a necessity. During checkout I need an added option for people to be able to select to pick up from a list of hubs & a fee added for that option (free to pick up from warehouse).
I think that's about all the information I have right now. I am unsure how it will be possible to list so many items on separate order lists in a clear & concise format, but this is what I need to achieve & be able to maintain myself.
Extra notes: I have no idea exactly what I require, I am hoping the right person can advise me on how to set things up in a way that will be cost effective, streamline the processes & be very easy for me to use long term.
