We are a construction company that works on many different sites at once. Each week we plan our labour requirements, finalising the labour for the following wee and adding in any long term labour commitments. We currently use an excel sheet to plan with the date along the top row and names of each operative down the l/h side. each person is then assigned to a date. Within this date we include certain information which I have listed below. At present we copy the information and send out as an email to each operative. but we want this to be automated so as after we finalise the labour requirements we can push a couple of buttons and the information is sent out to each operative. We feel that we need the following with in our application to enable this to work.
When setting up a new operative:
- Full name
- Their home address
- Email address
- mobile number
- Primary Trade
- Their current rate of daily charge
The date they first engaged with us (started)
- Driving status (have they got a driving licence)
- Company vehicle (not everyone receives a company vehicle, even if they can drive) , insert registration
- Any comments
When setting up a construction site:
- Full site address
- Job Number
- The Contracts manager assigned to the job (Full name, mobile number, email address)
- The quantity surveyor assigned to the job (Full name, mobile number, email address)
We then need to be able to associate each operative to a site. We currently do this with a copy and paste exercise on excel. When do this we need to be able to see who we have assigned and to what sites already in the upcoming weeks (our current excel version is attached). We will need to see the full 7 day calendar and this is to highlight week ends and bank holidays as separate defined periods.
We would assume that we then allocate an operative to a date, as an example I will assume John Smith on monday the 1st of may. When this cell/box is clicked on we pick out john smith and the site name he is going to work at, this would also show the job number. We also need to add in the time they are to start on site , and pick from a list of other operatives if they are to travel in the same vehicle. We would also want the ability to pick a date range for them to be at this site for, and be able to include or remove any weekend working. The ability to add in a note.
The ability to not be able to book the same operative to different sites on the same day is required.
Currently we used a coloured box system for each different site with the information container therein. For visiual purposes this is very useful and we would like something similar.
We also need to add in certain days for training or adhoc work. This would need to include the training type, its location, start time and if a training agreement has been returned.
From the above being finalised we would like to be able to confirm and then send out emails to each operative individually with the details showing the following:
-Subject line would read " Site details for week commencing Monday the 1st of may 2021".
Then each day/date shown separately with the following information against each day/date.
- Full site address
- Job number
- start time
- The person they will be traveling with (and each persons name and mobile number, email address)
- Any notes
And the above to be formalised into a larger email for each Contracts manger and Quantity surveyor who is assigned to that project. to be clear this will be one email that contains off the operatives going to that site on the specific upcoming days/dates. Who they are travelling with and any notes that have been sent to them.
On every Wednesday morning we finalise the next weeks labour. But we also double check that there haven't been any last minute changes to the previous weeks labour allocation. We need the ability to change previous records.
I have attached our current excel sheet that we work from for guidance.
We are open to suggestions on who this may work.
