Odoo Custom Implementation for Equipment & Machinery Rental

Hello freelancers,

We are looking for an experienced Odoo consultant/implementer to configure and customize an Odoo Custom instance for an equipment and aerial platform rental company.
We manage a fleet of approximately 200 assets/machines and need to digitize our end-to-end operations: from quotes, ISCIR document tracking, and client portal to digital field service, delivery reports, and e-Factura invoicing.
Scope Overview The implementation is structured into 5 milestone-based phases:
• Phase 1 — Inventory, Rental & Portal: Asset catalog (~200 units), rental rates/calendars, ISCIR document expiration warnings, client portal, and asset QR codes.
• Phase 2 — Inquiries: Email alias automated lead creation and assisted WhatsApp messaging.
• Phase 3 — Invoicing & e-Factura: Rental invoicing rules, multi-currency (EUR/RON), BNR exchange rates, and Romanian e-Factura (SPV / CIUS-RO) integration.
• Phase 4 — CRM & Signatures: CRM pipeline, electronic contract signing, and 1-click proposal package sending.
• Phase 5 — Field Ops & Maintenance: Dispatch queue, mobile delivery/pickup reports (photos, hour counter, fuel level, GPS, digital signatures), and preventive maintenance alerts.

Work Structure & Budget
• Deployment: Self-hosted Linux VPS
• Budget: Fixed-price project
• Payment Terms: Structured into 5 distinct phases with smaller milestone deliverables. Each milestone is demonstrated and tested on Staging before acceptance, live deployment, and payment release.
Requirements
• Proven track record with Odoo Custom (Rental, Field Service, Documents, Sign, Planning modules).
• Experience with Linux VPS setup and administration for Odoo self-hosting.
• Familiarity with Romanian e-Factura / SPV integration is a strong advantage.
• Agreement to work under milestone-based delivery and staging validation.
Shortlisted applicants will receive the full PDF specification for final review before contract setup.
The1st task will be the 3st milestones:

- Odoo installation on Linux server (BD, security, tools, etc.), test and production environment, the three accounts (admin, mechanics, drivers) with access rights

- Fleet structure: each machine as an individual product, with serial, inventory number, category, specifications; sheet template.

- Recording of ISCIR documents on each machine: document type, expiration date, PDF attachment - without notifications or blocks (the expiration warning already comes on another channel)
