Jockeys Records.
The Irish Jockey Trust is a charitable organisation who provide assistance to jockeys who are no longer working. This help can be in many categories including, Financial, Medical, Educational/Training etc. The trust has 4 employees all with different responsibilities.
They currently have a need for a record management system to handle the Jockeys details (About 500) and their applications for assistance (about 1000). The jockeys file and application file have approx. 22 fields each. A jockey can apply for assistance many times and their history must be maintained. It should be possible to attach external documents (emails, .Jpg etc) to each application.
There are 3 reference files , Presenting problem, Category, Referral source.
All information is entered manually and various staff have various access. Jockeys will not have any access to the system.
Both files should be searchable with some filters (particularly dates, summary of applications in any year), name etc.
A display (Summary) of all application records for a jockey should be included. Clicking on any of these records should display the full details for that record (possible form).

The system should be web based to allow access from anywhere.
Possibly using Airtable.

    1. What are the exact 22 fields required for both the Jockey record and Application record? Can you provide the existing forms/files if available?

    2. What are the 4 staff roles, and what permissions should each role have (view, add, edit, delete, approve)?
    What is the complete application workflow? For example, how does an application move from submission through review, approval/payment, and closure?

    3. What reports and searches are required? Please provide examples of the yearly application summaries, filters, and reports you need (and whether Excel/PDF export is required).

    Hi Simon,

    I have already a built-in system like this where you can just upload your files in the form of PDFs and excel, it will fetch all the data from it, also on top of it you may add multiple records directly from the system.
