Description
We are a small tech distribution company that require serial number log/recording software to run alongside our Order Management system. No integration is required between the two, and it will run as a completely standalone desktop application.
In brief this will consist of one major application, and two side applications, all accessing the same database:
(1) Main Application – This will be used by warehouse staff to scan in order numbers, followed by the serial number of products, this will then add to the database.
(2) Search Application – This can be used to lookup by Order ID or by Serial Number, and pull all the information such as to the Order ID it was sent to and on what date, or the Serial Numbers sent on a certain Order ID.
(3) Input Application – This will allow us to preload serial number information, along with model number and our purchase date from manufacturer into the database.
A more detailed explanation:
Everything will be scanned in using a barcode scanner, that essentially inputs the barcode as text format to the PC – an example product is https://www.amazon.co.uk/dp/B071CTWJTH
(1) Main Application:
a. Scan Order ID (this will be 6 numeric digits that will be in barcode format on the packing slips provided to our warehouse staff from our other system).
b. Scan Serial Numbers
i. As serial numbers are scanned, it will pull the model number of that serial number from the database, as all serial numbers will be preloaded using application 3.
ii. There will need to be a list of SN scanned against that Order ID, that can be amended/deleted if an incorrect item is scanned.
iii. Not allow things like duplicates to be scanned etc. Basic error detection.
c. These scanned serial numbers should also form a list on the right hand side of the screen, such that it produces a tally of how many of each model has been scanned – so warehouse staff can cross check.
d. An upload to database or similar button, that when everything has been checked, it sends to the database.
(2) Search Application:
a. There will be search by either Order ID or by Serial Number.
i. Search by Order ID will return all the Serial Numbers on that order, along with any other information the database holds.
ii. Search by Serial Number will return the Order ID it was sent on, along with date sent etc.
(3) Input Application:
a. We are provided a list of Serial Numbers, along with corresponding Model Number when we initially purchase stock.
b. We want to be able to pre-load this information into the database, such that when units are scanned by the (1) Main Application, information is displayed for that unit.
c. Data can be manipulated and input in any way that makes it easiest to be added.
Additional:
- Serial numbers will mostly be scanned in individually, however some cartons have QR codes that contain up to 20 serial numbers in a single scan. If this software could also handle QR scans, that would be great; these are in the same text format with a return between each SN.
- Ideally needs to be cloud based, i.e. through Azure and be able to be accessed/used by 2 PCs at once.

Hello Costas,
Will the database be accessed from the same location, or do you require it to be accessed from multiple locations (e.g. different warehouses)?
The answer to this question will obviously dictate the hosting required for the database and what type of authentication will be needed to access/update the database.

your project is some type of Inventory Management System, I was already do this same in my previous office project like barcode scanner integration with application, database development, and managing stock with respect to sales and purchases.

Our current order management is Linnworks, we essentially pay a subscription for this and therefore it wouldn't be possible (at least as far as I see) to integrate with this; therefore looking for a standalone solution.
