Experience Level: Intermediate
We are looking for a long term, on-going admin assistant to provide support within the general operations of our marketing staffing agency during busy periods or during permanent staff holidays.
The candidate would be expected to perform the following roles and tasks:
• Be available to take calls/emails from us at the office and work with us to complete our day to day tasks.
• Be integrated into the business with a permanent email address and take calls/emails from, and make calls/emails, to clients.
• Be a point of contact for clients during busy periods.
• Receive job briefs from clients and create accurate quotes in reply (training provided).
• Book staff to our campaigns and act as an emergency point of contact for those staff on live activities (only during busy times).
• Check and prepare staff wages summary for our accountant to run payroll (training provided).
The candidate must be experienced or possess very strong transferable skills. We are looking for a fun and vibrant character to match the profile of our staff and our clients in marketing and events. Candidate profile would include:
• Candidates must be UK mainland based (this excludes Northern Ireland and other islands). Please state location in application.
• An advantage (but not essential) would be a strong proximity to either: the North East, Bristol or London.
• Candidate must be very experienced with full MS Office collection and be a very comfortable internet user.
• Candidate must have a superb phone manner and be comfortable talking to senior clients and ground level staff.
• Candidate must have a smartphone and be willing to integrate work emails into that phone.
• Important for building a relationship between us and yourself, the candidate must have a webcam (Skype etc.) and be happy to use this for web-meetings when working on tasks with our office when required. Webcam also to be used for initial interview.
• Candidate must have high standards and attention to detail.
• Candidate must have the flexibility to attend an occasional meeting or event (although very rare, perhaps once or twice a year at the outside) and travel for initial training day on successful application.
• Candidate must have a scanner, printer and have a generally equipped office.
• Marketing or events background an advantage but not essential.
• Candidate must understand the responsibilities and obligations of client confidentiality and be comfortable signing a non-disclosure agreement.
