UI UX Designer to Improve Desktop App Workflows

I am looking for help improving specific parts of an existing desktop application used by remote teams.

The application includes multiple system states such as active, idle, paused, and syncing. At the moment, these states are not always clearly communicated, and users can feel unsure about what the system is doing.

The focus of this task is to review current flows and suggest improvements to how state transitions and system behavior are presented during normal use.

I would like you to identify where confusion happens and propose clear, practical improvements to make the interface easier to understand.

This is a focused task, not a full redesign.
