I need a specialist to set up a portfolio-level project plan that can handle around 36 projects (games) per year, each with ~40 deliverables across 5 phases.
The deliverables I need are:
A master template of dependencies (e.g. design docs, maths spec, prototype, art, QA, release).
Ability to duplicate the template per project so it scales easily to all 36 games.
Dependencies that cascade automatically (if one milestone slips, downstream dates adjust).
A portfolio view showing all games in flight across 3 studios.
Filtered views for different audiences (Heads of Studio, Maths, Art, Sound teams) so they can see just the deliverables relevant to them.
Ability to export/share reports easily (e.g. per-studio plan or team-specific workload).
Flexibility to add/remove deliverables per project without breaking the structure.
A short handover/training so I know how to update milestone dates/status, but I don’t need to learn the full system.
Key context:
This is not software development. It’s about setting up the planning framework in a tool (MS Project if available internally, or Smartsheet if that’s better).
Once built, I want the ongoing admin to be light-touch — I will update dates weekly and use it to hold teams accountable.
The value for me is visibility across all projects, spotting slippage early, and giving central teams clear visibility of when they are needed.
