General information for the business: Azrights was founded by Shireen Smith, with the aim of helping entrepreneurs and small businesses to protect their ideas, avoiding the mistakes and pitfalls that commonly undermine their success. By turning ideas into intellectual property clients are better placed to monetise their ideas and increase the value of their businesses. The firm has a handful of legally qualified staff currently, and is looking to grow, so if you’re looking for a long term client where your role could expand as the business grows, this would be the right opportunity for you.

Description of support work: You are a confident user of systems, have strong admin skills, and a solid background in CRM, ideally Microsoft Dynamics (although another CRM system would be acceptable), and are familiar with Microsoft Office and 365. I am looking for someone to work for me for 15 hours spread over 2-3 weeks (depending on the work) as a virtual PA, and if the initial project goes well, in a permanent role, (a full job description will be made available to you to review). Some of that time will be used for induction on our systems.
As everything we do as a business is in the cloud – time tracking, accessing passwords, scheduling social media updates, fixing appointments, and more – you should have a facility for quickly learning how to use new systems.
Initially, the project involves receiving details of enquiries from our telephone answering service, adding data to our CRM opportunities, preparing standard emails for prospective clients who have made enquiries, sending out our newsletter, dealing with unsubscribes, and sending an email follow up. Other tasks may include scheduling social media updates, using our time recording system, scheduling appointments and diarising them, and doing checks on prospective new clients, such as obtaining information about their company from Companies House.
We are looking for someone with a responsible attitude, to ultimately take charge of all such tasks, and more, having primary responsibility for keeping our CRM data properly segmented, and updated, setting up new client files and cases, dealing with all our filing, and managing the email information flow into the firm. This will involve reviewing emails daily, picking out those that require action, taking appropriate steps based on pre-agreed processes, such as alerting someone to the arrival of an email requiring action. We have a wiki with detailed instructions on how to use the systems we use, and explanations of processes to follow when carrying out tasks. You will be given a day’s induction at our offices if you are successful in this initial project.
You should have good attention to detail, set yourself high standards, and be an effective communicator who writes clearly. If you are utterly trustworthy and responsible, and of good character, possibly with previous work experience in a law office, then you would be ideally suited to the opening. You will ultimately be entrusted with important, and confidential tasks, and therefore we will want quality references if you are to work for us longer term after this initial project.
