Due to our Sales Support Administrator leaving we are looking to hire a freelance VA to work with us on a remote basis. We are a small design and marketing agency in Yorkshire who provide the following services: WordPress Websites, Web Development, Logo Design, Branding, Web/Print Content, Email Marketing and Web Apps.
The VA will carry out the following tasks:
(You will receive online training if required)
✔ Follow up on outstanding deals/opportunities
✔ Respond to email enquiries and messages on PPH
✔ Answer the phone, transfer calls and take message
✔ Speak to prospective clients and obtain contact info
✔ Add email addresses to mailing list via MailChimp
✔ Research several topics online, logging results on Excel
✔ Update our social media profiles, ie. Twitter & Facebook
✔ Create invoices, send the relevant client and log on CRM
✔ Contact clients who are late paying invoices to chase up
✔ Create contacts on the CRM and update deals/opportunities
✔ Get project updates from our team of developers/designers
✔ Send quotes based on our pricing structure for packages
✔ Log bills and expenses on the provided spreadsheet
✔ Use shared calendar to manage diary and create events
✔ Test websites on major browsers, highlighting errors
✔ Generate reports for email marketing and site analytics
✔ Search and identify suitable projects to send quote for
✔ Send provided press releases to website admin and media
✔ Contact event hosts to enquire about advertising
Please ensure that you can tick off ALL of the following:
✔ You own a PC/laptop/Mac with Office 07-13 incl. Outlook
✔ You have Ethernet (cabled) internet of a decent quality
✔ Impeccable spelling/grammar, professional at all times
✔ Excellent telephone manner, friendly, bubbly & professional
✔ Cheerful, engaging and whimsical style of writing
✔ NOT afraid to pick up calls, must be a "Phone Person"
✔ NOT afraid to ask for help or admit to a mistake
✔ You have a sound knowledge of social media channels
✔ Comfortable in using new software/apps with training
✔ Available 9am-5pm however you will log time for tasks
✔ Committed and reliable, able to carry out tasks same day
✔ Not deterred by a high level of demand from your client
✔ Pro-active, multi-tasker and works well under stress
An average of 5hrs/wk will be required with hours to increase over the upcoming weeks and months. This is not a time limited role, we would like our VA to work with us on on a long term basis. If in the future you find yourself busy with other clients we would still keep you on if you have demonstrated your skills and efficiency in the role and hire a part-timer.
You will receive an IP phone handset which you will connect to your router so that you can make/receive calls, transfer calls and check voicemail. This is why you must have an Ethernet connection.
Before starting the role you will be required to accept:
- Job Agreement
- Confidentiality agreement (NDA)
