Streamlining excel spreasheets vlookup

I run a small business in maidstone town centre called Pen Optical Trust. We have a spreadsheet which contains all of our data for the month. where we worked, how many patients were seen, how many patients did not attend, etc, etc.
At the end of the month we need to gather all data from each site, sum the number of patients seen, number of patients that did not attend and send this information in another spreadsheet to that site.
We have to do this for every site - we have about 50 sites in total. All of our data is contained in 1 spreadsheet so its quite time consuming having to extract data for each site and then send it on to relevant site.
we are looking for way to make this process more automated & faster.
