    EMPLOYMENT HISTORY
    March 2008 • November 2009 • IT Manager, IT Co-Ordinator, Sales & Marketing Co-Ordinator, Office Manager for Retirement Villages Group at their Head Office in Epsom (position made redundant in November 2009)

    Roles and Responsibilities:

    IT MANAGER
    • Procurement of all hardware and software. This includes HO and all sites.
    • Working closely with 3rd party to ensure the stability of the group’s network infrastructure. This includes monitoring the nightly backups, safe storage of the backup media, restoring from backup tapes on a regular basis, monitoring available hard disk space on all servers, monitoring mailbox sizes throughout the group to ensure business continuity,
    • Working with 3rd party to bring in the additional network points, switch and server cabinet (Christmas 2008) to prolong server and network stability. This project has been ongoing since last Christmas to ensure that we do not go over our limits on disk space, backup/restore availability on the servers and general server maintenance.
    • Ensuring that downtime, due to server maintenance, server servicing and updating, server MOT checks etc is kept to an absolute minimum and, where required, carrying out this work during the evening or the weekend.
    • Again, working with 3rd party, to ensure that sites are running smoothly and following up on support calls to confirm that they have been dealt with and the site is back on line and functioning as quickly as possible.
    • Organising the IT requirements for new sites eg, Mayford Park Ltd and ensuring that the requirements are met to a deadline.
    • Organising the IT requirements for office moves eg, Care Director’s office at Moat House, the removal of the Sales office at Roseland Parc,, taking on Care and Continuity users and Independence at Home users in Bath and the office move in Bath etc.
    • Setting up the BlackBerry Enterprise server earlier this year for four BlackBerry users • the number of BlackBerry users is now at 8 or 9. Providing support to all of these users wherever possible and working with Tikit to provide this support where necessary.
    • Ensuring that new starters have equipment, email accounts and basic training in the systems that they need to use when they start work with the group. Providing them with a friendly voice at the end of the phone (and thus building up their confidence) when they run into problems and getting back to them as quickly as possible with solutions to their problems.
    • Implementation and managing MimeCast (recent project) to reduce the risk of email abuse and infiltration on the RV network. Monitoring mail that is sent to and from RV users and forwarding on where safe to do so. This project also required the installation of a more robust firewall between the MimeCast server and or Exchange server.
    • Involvement in IT policies, budgets and administration • the company is now the size where policies must be put into place in order to ensure that infiltration, abuse and piracy is kept to an absolute minimum.
    • RV Website and domain registration upkeep • essential for the continuation of communication due to the vast array of domains we currently have.
    • Attending meetings with 3rd party IT suppliers to ascertain whether the group would benefit from their applications and services.
    • Researching software updates (MS Office and Windows OS etc) to ascertain the pros/cons of upgrading, working out cost benefits etc.
    • If unable to assist as the first point of contact, then responsible for contacting the 3rd party supplier, providing details of the problem and ensuring that the user is contacted as soon as possible to solve the problem.
    • Providing support and assistance with email archiving as and when necessary.
    • Providing support and assistance with reducing amount of files stored on the server.
    • Organising replacement kit for breakdowns on kit in HO and on the Sites.
    • Producing and maintaining an inventory of all IT Kit throughout the group
    • Providing senior management with an updated report on the “condition” of all essential hardware and suggesting ways forward to ensure business continuity.

    IT CO-ORDINATOR
    • Providing assistance to un trained staff at all levels
    • Providing help with Word documents, Excel spreadsheets (eg, running service charge invoices from the Villages, pivot tables for analysing data from Sales databases).
    • Providing help with error messages coming up through insufficient number of Citrix CALs on terminal services server.
    • Providing support on applications as required: SiteStream (both Sales and Operational), StaffPlan HomeRoster 4, Sage, ACT!; MS Office Suite (2003 and 2007) as well as Windows OS and PC usage and optimisation.
    • Providing support on hardware, printers, faxes, telephone systems, mobile phones and BlackBerrys.
    • Liaison with 3rd party suppliers eg, Opus (Toshiba colour printer at HO) to ensure minimum downtime, full service and maintenance programme and trouble-shooting via telephone instructions whenever there is a problem.
    • Providing users with support and training on using the Toshiba to make sure they take advantage of it’s functionality.
    • First point of contact for al IT issues from users throughout the group. This enables me to provide support and solution if possible. If not, then I get a clear understanding of the problem, call 3rd party and provide all the necessary information for them to call the user and resolve the issue as quickly as possible. Turnaround of issues (dependent upon urgency and who the user is) are usually within 20 minutes due to the amount of information I have provided 3rd party with and informed them of the possible solutions I have tried prior to calling them.
    • Logging of all support jobs and getting feedback on solution/outcome. Then getting back to the user to ensure that the issue has been closed.
    • Logging all hardware/software purchase orders per site so that the budget can be reviewed more easily

    SALES AND MARKETING CO-ORDINATOR
    • Producing templates and documents for mailouts (property details, open day flyers, mailshot letters for specifc village events etc)
    • Optimising size of photos used for Property Details to ensure that the documents are produced at a manageable size for both storing and printing.
    • Running reports from SiteStream (sales database system), to ascertain number of “applicants” to include in specific mailshots
    • Liaising with Marketing and PR agency to ensure they have information they require for advertising purposes etc,
    • Answering sales calls when the Sales Department at Head Office is undermanned (quite regularly).
    • Booking viewings at properties at the properties in the Villages
    • Updating the sales property progress files as and when I take telephone messages and there is nobody available or willing within the HO Sales Department to spend the time to take the messages.
    • Updating, maintaining and printing of documents that are required on a regular basis in the Villages eg, FAQs, Service Charge Budgets, Welcome to RV packs, price lists etc.
    • Ordering and re-ordering of Sales and Marketing brochures as and when necessary. Assisting with the proof reading all of these documents when required.
    • Updating and maintaining the Property pages on the RV Website on real-time basis.
    • Uploading photos, descriptions and room dimensions to the RV Website for all villages and all properties.
    • Ensuring that the data on the Property pages on our Website is constantly up to date and accurate.
    • Running reports from SiteStream to provide Sales Department with statistics eg, for applicant cleansing and chasing.
    • Sorting out additional ad-hoc staff with equipment and support (eg, 4 new temporary sales personnel in HO recently).

    HEAD OFFICE MANAGER
    • Answering the telephone at all times if no one else around to do so
    • Ensuring calls are put through to the appropriate person or taking a detailed message where necessary and making sure that it is passed on via email
    • Booking hotels for directors, managers and other personnel.
    • Ensuring that items on the Company Credit Card match up with invoices received.
    • Franking mail accurately and ensuring it is picked up each evening.
    • Opening and distributing mail when necessary.
    • Ordering stationery, taking deliveries, storing stationery away,

    February 2007 • January 2008 • Training and Development Manager for a Solicitors Practice - Kingston
    Responsible for developing and training on the in-house Case Manager system. I joined this practice when the system was in its infancy and I was totally responsible for getting all of the teams up and running on the system. The role required a lot of juggling to ensure that each team were able to use the system to the best of their ability and I also carried out regular refresher training courses for all users. When I left this practice all teams were using the system efficiently and getting a great deal of benefit out of it. I was responsible for creating all of the in-house templates and ensuring that all users were fully trained up in utilising them in the correct way.
