Description

Experience Level: Entry
We are looking for a developer to complete a one-off project (with the possibility of a few follow-up refinements) to automate our website quotation process.

Currently, customers submit a quote request, which is then reviewed manually and priced by our team. We would like this process to be automated so that customers receive an instant estimate based on the information they provide.

The system should:

- Capture all relevant property and contact information so we can follow up with the customer.
Automatically generate and display an estimated fee immediately after the form is completed.

- Include a "Proceed with Estimate" button, allowing the customer to confirm they would like to proceed with the quoted estimate.

- Notify us once the customer has submitted the request an estimate, and also once they have accepted the estimate so we can carry out a final review. In most cases, we expect to honour the estimated price, although we would like the ability to make adjustments if the information provided requires it.

This should be a relatively straightforward project for an experienced web developer.

    1. Do you already have the pricing formula/rules documented, or is the quote currently calculated manually based on staff judgement?

    2. Approximately how many questions or property variables affect the final price?

    3. Where would you like quote submissions stored — email only, a spreadsheet/database, or an existing CRM?

    4. Should customers receive a copy of the estimate by email as well as seeing it on screen?

    5. When your team adjusts an estimate after review, do you need the customer to receive and approve the revised amount through the website?

    Once those points are clear, we can confirm the final fixed scope.

    -if automated integration with Hubspot CRM is possible then this, if not then email

    4. Should customers receive a copy of the estimate by email as well as seeing it on screen?
    - yes please

    5. When your team adjusts an estimate after review, do you need the customer to receive and approve the revised amount through the website?
    - doesn't have to be through the website necessarily (but this may be the best solution, don't known), but they will need to accept the revised quote somehow

    Thank you, that clarifies the requirement well.

    Based on what you've explained, the first version can remain quite straightforward: use your existing Google Sheets pricing rules to calculate the estimate based primarily on property value + inside/outside London, display it immediately, email a copy to the customer, and notify your team when they choose to proceed.

    I also think it makes sense to capture the lead/referral source from the beginning, even if it doesn't affect the price yet. That data can be passed into HubSpot and gives you the option to introduce source-based pricing later without having to rethink the form.

    For revised quotes, I wouldn't overcomplicate the initial version with a customer portal. We can provide a clear acceptance mechanism for the revised amount and leave a more advanced quotation-management area as a future refinement if you eventually need one.

    We've developed a Motor Quotation System for an insurance company that follows a similar principle — capturing customer information, applying predefined rates/rules and generating a calculated quotation — so we're familiar with translating an existing pricing structure into an automated quotation workflow.

    Based on your clarification, I'm comfortable keeping our existing proposal assuming the Google Sheet contains the defined pricing bands/rules and the required Framer/HubSpot access is available.

    We have a pricing document (google sheets) which we manually refer to to email quotes. The document is based on the value of the property and location (inside London vs not inside London). This is all I believe I would require the estimate to be based on at this stage (albeit at some point I may want this to also vary based on the source (i.e. if it is a genuine google search or whether a referral partner has recommended us and then they have google searched us so ideally drop down options for this data capture in the request an estimate form would be necessary).
