**Integration of Eventbrite and Zoho. Automation of Zoho processes. Relationship of Zoho Fields**
THE REQUIREMENT
We run a series of events, around which we use Zoho to manage our processes for handling invites, unsubscribes, external bookings (via Eventbrite), event reminders, attendance confirmations, attendance apologies, and rebookings.
Upon certain triggers (e.g. event booking, or cancellation by delegate, or in the run-up to an event date) we will send certain emails (e.g. offering alternative dates) and update certain fields in Zoho (e.g. to change the status from ‘event booked’ to ‘cancelled’).
Currently these processes are undertaken manually in Zoho, along with some basic automation using Zoho’s limited workflow functionality. We need these activities to be much more automated in Zoho, and driven by user or client events – such as a client clicking a link in an email to say they can’t make an event, should trigger certain actions and present alternative dates to them.
We have already completed a whole bunch of work on the processes and triggers, and are pretty clear about what we need. In fact we’ve even had a near-fully working version of the solution built, by another developer, but the developer was not able to continue. We then found they had hosted the solution on their local systems, to which we no longer have access. Hence our insistence on independence / sustainability / redundancy of the new solution so we have better protection from any such outside issues going forwards.
We are looking for a developer who will be able to deliver this project and support teething problems, and then continue to work with us going forwards providing any support to the new solution and also further development work for subsequent phases.

- The broad approach you would expect to take to deliver the solution.
- Other projects you have worked on with similar challenges, and using this or similar software.
- How you would support the solution going forwards – e.g. support availability, expected response times, for teething problems or any subsequent issues that arise.
- What periods of the day you’ll be available for – e.g. during the working day or evenings only. Please express all times in UK GMT.
- Your anticipated availability for future projects – We have a whole series of development work planned. This integration/automation project is just the first element. We are looking for a long-term relationship with the developer.

Be aware that we will want to check client references – please be prepared to supply at least 2 client details who would be willing for us to get in touch and discuss their experience of working with you.
PAYMENT
The budget given is illustrative only. Our preference is to break the work into manageable phases, and agree a fixed price for each delivery phase.
We would prefer staged payments, e.g. 33% mid way through, 33% upon completion, final 33% upon successful operation and testing (e.g. one or two weeks on).
INDEPENDENCE/SUSTAINABILITY/REDUNDANCY OF SOLUTION
The solution will be a critical asset for the business, and needs to be able to operate independently of you or us. We need to build the solution and supporting framework such that in an emergency it could be handed to another developer with minimal transition. This is not something we would do lightly, but for business contingency we can’t have critical systems like this being operated in a way that’s outside of our control. For example we’d require:
- A Developer’s Manual, so the ongoing management and development could be picked up by another party. This manual should include the coding methodologies and languages used, and commentary on each operational element.
- Any hosting of the service should be on an independent platform where we have the management control.
- Any coding should use industry standards that are capable of being understood and maintained by another developer.
WEBSITE
Some elements of the solution will take the form of web pages. These will be hosted within our own website. This is currently hosted on iPage and managed using Weebly tool. Over the next few months we are having a new website built, on WordPress platform, and so the solution will need to be capable of being ported over to a new website and possibly a new URL.
