I need our Zoho CRM database improved with easier usability and searchability.

We are an advertising Portfolio School based in Brixton London. We currently use Zoho for to manage all our students and mentor details however we use it in a very basic form and we need to get more fields in put and enable greater searchability and see if it can provide what we need. We are not fully aware of how far Zoho can be developed and we would like some advice as well.

What we need is;
a) Additional fields to our existing mentor database. We need this to work harder for us. Such as last contact date, by who, can we email from it ? rather than copy and pasting an email and then going in to gmail and then sending an email.

We need to be able to access details quickly and easily, saving time and giving a greater capacity for workload. There are 3 of us who need access and work with this database.

· Want to see at a click of a button who has been spoken to and when and by whom

· Who are the top ten mentors over XX period of time

· We need to be able to see who hasn’t been mentoring but who has signed up

· Be able to see easily who we need to target to get in to mentor at the school next

· Allow rotation of mentors

· Make sure no mentors drop off the radar

· 'Forward call' mentors when they say they would like to come back in

· Ability to see when other colleagues have been speaking to them


b) Set up a database for our school Portfolio Day - this may be connected to the above but have it's connected but own area?

Have all the agencies we work with on this database and contact names

See who has been invited

Who has replied

Easily see which agencies are sponsors of the school and who isn't

See when they last came in to the school - what the last contact with them was



Questions:

Are we able to actually work in Zoho? e.g email from Zoho? enable us all to see when they were contacted and what about?
