Google Workspace Digital Site Manual & QR System

We are a UK commercial cleaning company looking for someone experienced with Google Workspace, Google Sites, Google Drive, Google Forms, Google Sheets and Apps Script to build a simple digital site-information system for our cleaning teams.

We currently operate across multiple customer sites and want to replace much of our paper-based site manuals, COSHH information, safety data sheets, policies, RAMS, cleaning specifications etc. with a QR-based digital system.

What we would like:

Each customer site should have its own unique QR code displayed in the cleaning cupboard. Scanning the QR should open a simple, mobile-friendly Google Site containing information relevant to that particular customer/site, including:

* Site information and contacts
* Cleaning specifications and schedules
* COSHH assessments
* Safety Data Sheets
* RAMS / safe working procedures
* Company policies and Health & Safety information
* Equipment instructions
* Emergency information

We also want a central master-document system so common documents such as company policies, COSHH assessments, SDS, generic RAMS and equipment instructions can be maintained centrally rather than duplicated unnecessarily across every customer site.

Security and permissions are important. Someone accessing one customer site must not be able to browse or access information relating to our other customer sites.

Reporting system

We would also like a single company-wide “Report an Issue” QR code.

This should open a simple Google Form allowing staff to report things such as:

* Accidents
* Incidents
* Near misses
* Safety concerns
* Equipment faults

The form should allow the employee to select their site, provide details and ideally upload photographs.

Submissions should automatically:

1. Be recorded in a central Google Sheet/log.
2. Send an email notification to a designated company email address.

What we need from the freelancer

We are not looking for someone to manually build dozens of customer sites.

We want someone to build the system correctly from the outset, including:

* Google Drive/document structure
* Permissions and security
* A professional reusable Google Sites template
* 1–2 example customer sites
* Google Forms reporting system
* Google Sheets response log
* Automated email notifications
* QR code setup
* A simple process/template for adding future customer sites

The finished system needs to be straightforward enough for our management team to add new sites, update documents and maintain the system ourselves without ongoing developer assistance.

Please also provide a short handover guide or screen-recorded video showing us how to create a new customer site, manage permissions and update the master documents.

We already use Google Workspace for our company email, although many of our existing company documents are currently stored in Dropbox. We can provide the relevant approved documents for this new system.

We are looking for someone who has previous experience building similar systems within Google Workspace, particularly Google Sites, Forms, Drive permissions and Apps Script automation.
