General information for the business: we buy cellphones and also need web crawler
Kind of development: New program from scratch
Description of every module: I am looking for custom software for my company. We are in the business of buying and selling cellular phones. What I need is more for the purchasing of the phones. Here is a simplified idea of what I need:
A system that will track all moves from start to finish. A typical cycle is as follows:
1. I receive a call or email from customer stating they have phones for sale. I ask which ones, i..e, carrier (AT&T, Sprint? Verizon? T-Mobile)
2. They tell me or email me what they have. I need software that will track my quote, i.e., Sprint iphone 4 16GB working condition $80, good for 30 days. $10 less with no charger. Of course, other phones will be on quote.
3. I need the software to be able to email them a prepaid Fedex label, with applicable insurance, either at that point or at a later date when they are ready and I know the approximate value (for insurance)
4. I need the software to be able to either: automatically follow up if I do not receive a reply, i.e., “Have you shipped or will you ship your order soon? Remember, prices are valid thru March 30th, something like that. I also will need a report of what is pending, as in, what may have shipped and who I need to follow up with to push them to ship
5. Once they use our Fedex label, we need some sort of notification from Fedex that it shipped
6. Once it arrives, I would like to be able to scan in the Fedex label or other indicator, i.e., PO #, name, etc., so that it can auto send an email to customer that their package has been received.
Next:
We enter in each phone here by ESN (serial #) and name. Ideally, they would already come up in the system, since we previously quoted them. The software would allow the person entering in the phones to see the quote I had sent, so he/she knows what was quoted.
Another email would be generated to the customer showing them the next step in the process has been completed, with an expected pay date
Once the phones are tested after entering them, which could be a few days later, we need to have the Purchase Order (PO) changed to show deductions for:
Missing charger
Cracked screen
Bad port
Excessive wear and tear
But we still must be able to show the original price quoted, so that we show the new price quote and the original, otherwise if we change the price, the customer will ask (what was the original price) and it creates a lot of extra work.
Once that is entered, we need to send an email with the updated PO, showing the notes for each line item and if lower than original quote and why, and asking customer for their approval so we can send check.
Once approved, we need they CONFIRM name/ address of who check is made out to, then we must record:
1. Date check cut/sent
2. Method: sent (Fedex, US Mail)
We also need to be able to check, once we know phones were sent to us by the customer, what it is that is coming in or already arrived but not yet opened up and checked in. This is because we may have people asking for phones that we do not have in inventory, yet we may have them waiting to be checked in or they may be en route to us, so we can tell the customer looking for the phone(s) that they will be ready soon.
The hard part we are having in the buyback process is the constant questioning by customers: Did you receive phones? Did you send check? When will you send check? We need to appraise them of each step, to pre-emptively avoid the communications.
