I run a UK-based consultancy working with ~150 news publisher clients (mid-size/small digital publishers). I help them set up and manage syndication agreements with ~10 news aggregation platforms, generating monthly revenue share.
I’m looking for an experienced CRM specialist to fully set up and optimise my Pipedrive account from scratch.
Current Situation
CRM (Pipedrive) purchased but not set up
~150 clients stored across:
Microsoft OneDrive (contracts & folders)
Microsoft Outlook (all communication)
Key business knowledge currently in my head (not systemised)
Website contact form not integrated into CRM

What I Need Built
1. CRM Structure & Data Migration
• Import all ~150 clients into Pipedrive
• Attach relevant metadata:
Platforms they are on (e.g. Platform X, Y, Z)
Revenue status (earning / not earning)
Contract details (from OneDrive)
Clean, logical pipeline structure

2. Tagging & Filtering System
I need to be able to easily query:
“All clients on Platform X and Y”
“Clients NOT on Platform A & B”
“Clients not earning revenue yet”
3. Email Integration
• Full sync with Outlook
• All past and future communications linked to contacts
• Ability to track conversations easily
4. Task & Workflow Management
• Convert emails into tasks automatically
• Ensure no client requests are missed
• Follow-up reminders and workflows

5. Platform Relationship Tracking
• Track interactions with platforms as well as clients
• Example:
If a publisher was pitched to a platform and rejected → logged
Avoid re-pitching incorrectly in future
6. Lead Capture Integration
Connect to CRM from website form.
Automatically create leads in Pipedrive
Engagement
• 5–10 hours per week initially
• Potential for ongoing work

2. Do you already have structured export files for clients, or should I clean data manually?
