Description

Experience Level: Intermediate
UK-based plumbing and drainage company looking for an experienced API integration and automation specialist to help connect our existing business systems.

We are looking for someone who can initially complete a small integration project, with the potential for ongoing work as we automate more of our administration.

Our existing systems:

BigChange (JobWatch) – customer management, jobs, quotations and invoicing

Genie AI (GoHighLevel) – CRM, sales pipeline, marketing automation and Voice AI

Xero – accounting and invoice management

Microsoft 365 / Outlook – emails and administration

PHASE 1 – BigChange to GoHighLevel (Immediate Priority)

We need to automatically transfer quotation information from BigChange into GoHighLevel when a quotation is issued, accepted, declined or cancelled.

The integration must:

Create a new opportunity when a quotation is issued.

Update the existing opportunity when its status changes.

Use the unique BigChange quotation reference to prevent duplicates.

Support multiple independent quotations for the same customer.

Move opportunities between Quote Sent, Quote Accepted and Lost.

Trigger and stop existing GoHighLevel quotation follow-up workflows.

Include error handling, retries and alerts if information fails to transfer.

Our Genie AI provider will configure the workflows within GoHighLevel. We need a freelancer to develop and manage the API connection between the systems.

PHASE 2 – GoHighLevel to BigChange (Future Project)

We would like new enquiries received through website forms and Genie AI Voice AI to transfer automatically into BigChange.

This would include customer details, site address, service required, enquiry notes and call summaries.

The integration should check for existing customers to avoid duplicate records.

FUTURE AUTOMATION PROJECTS

We also intend to explore:

Xero and Outlook integration for invoice disputes and payment chasing.

Automated financial dashboards and reporting.

Job completion follow-ups.

Generating draft quotations from BigChange engineer worksheets.

Other administrative processes that can be automated.

EXPERIENCE REQUIRED

REST APIs and webhooks.

Make.com, Zapier or similar automation platforms.

GoHighLevel API experience.

Experience with field service management software.

API error handling, logging and data synchronisation.

BigChange, Xero and Microsoft Graph experience would be advantageous.

WHAT WE ARE LOOKING FOR

We would initially like a short paid technical assessment to review the available APIs, recommend the best integration method and provide a fixed-price quotation for Phase 1.

    Hi Alex, when a BigChange quotation is revised and reissued, should GoHighLevel update the existing opportunity or create a new one if the quotation reference changes? This will determine how we handle opportunity matching and prevent duplicate follow-ups.

    To get started, we'd need:

    - BigChange and GoHighLevel API documentation and confirmation of available permissions.
    - Redacted sample quotation records showing the relevant status changes.
    - Your GoHighLevel pipeline stages and a technical contact at your Genie AI provider.

    2. Is your GoHighLevel account already configured with the required pipelines and opportunity stages?
    3. Can your BigChange provider supply API documentation or developer access for the account?
    4. Would you prefer a lightweight Node.js integration hosted independently, or would you prefer Make.com if the available API capabilities support the complete workflow reliably?
