Online expenses submission portal

To develop a user-friendly, client expenses online submission area to be fully integrated into client’s website.

An object-oriented database solution with fully-functioning GUI will provide:

A ‘client’ area (dashboard) that will include the following features:

 Name, username, email address, password (+ ability to change), profile image upload, vehicle registration details, client/agencies, working sites, user created form templates to speed and aid submission.
 ‘My documents’ area – for uploaded documents such as payslips
 ‘My submissions’ area – to include submissions status e.g. Submitted/Awaiting approval, Approved, Amended, Rejected.

The input form will include the following functionality:

 Select fields (dropdown) for sites and client/agencies
 Select fields (dropdown) for vehicle
 Selectable calendar to aid date entry
 Select fields for expenses types
o Expenses options will change based upon expense type selected with more “one click” choices
 Ability to copy/clone entries to speed entry
 Files/image upload for receipts etc.
 Very mobile friendly

The admin area will include the following features:

 Expenses approval – submissions will be editable allowing individual expenses to be approved or rejected. This will look like a queue of submissions which can be sorted/filtered upon status type. e.g. Requires approval, approved, rejected, date etc.
 Mass upload of documentation/information to all/selected clients
 Ability to add new users/change passwords etc.
 Auto-generated pdf file sent back to client dashboard upon expenses approval.
