We use a web-based database application to enter our sports coaching sessions, and gather data on who attended. The web-based application does not have the reporting capability we need. We are using an API to download the data and interrogate using a reporting tool.
The API results are returned in XML format. One XML file per record. We are unable to use this format in the reporting tools, and we have a rudimentary PHP application to collate the XML files into one CSV flat table.
We wish to use the API to automatically update our master databases so we are able to report to 24 hours old. The API can search for updated or new records and append them to our master databases which will be linked into a reporting tool.
If the automation fails due to unforeseen circumstances such as internet issues, we need a logging mechanism that can email a summary of transactions and errors.
If the API fails, we would like to be able manually to extract the data using an interface that can allow a user to enter a date to export missing information. The user’s date criteria will have to be validated to make sure they are not requesting data already present in the master database. If the user date is valid, then the API extract gets the data according to the user’s date criteria and updates the master database with the extracted data.
