I'm the co-founder of a startup called - Djubo (www.djubo.com). We're a cloud software provider for Hotels and have close to 2000 hotels using our software.
We're currently looking at engaging UX designer for designing a 'Web Check-In' feature for our platform. The feature would be seamlessly built into the existing application that we have.

Feature Brief | Web Check-In
This feature would enable all future customers of RLC to do a web check-in into the hotel, from 24 Hrs. before the check-in till the check-in time.
As part of the check-in process, user will be able to check booking details, add additional guests to the booking, upload the KYC document(s), and sign the GRC form even before arriving at the Hotel.
Detailed Workflows
GUEST WORKFLOW
i. Customer makes a booking from any channel (including all OTAs,
corporate, website, direct sales)
ii. 24 Hrs. prior to check-in, the Guest receives an email with a Welcome message with an option to do a web check-in. The tentative message would be as follows:
"Your check-in into , is tomorrow. We are eagerly awaiting your arrival and looking forward to serve you with our warm hospitality.
In order to make your experience with us a comfortable one, we request you to avail our 'Web Check-In' (hyperlink) which is now available for your booking. You can do a web check-in using any internet enabled device.
......(can extend the message)"
ii. User clicks on the link and is redirected to the Hotels Web Check-In portal. This link will be similar to the Booking Engine link (e.g. booking.gohotels.ph/...)
iii. User workflow will comprise of 3 steps:
Step 1: Intro & Agreement
Brief Intro & Agreement to Terms & Conditions of Web Check-In
Step 2: Authentication & Booking Details
Booking details confirmation. An OTP mechanism will be used to verify booking details on the Guest mobile number mentioned during the time of booking. After validation user will be shown booking details and asked to 'Proceed to Check-In'.

Step 3: Outstanding Payment (conditional)
Only in the case where the user has an outstanding payment, user will be asked to make payment for outstanding amount, before proceeding for check-in.
"Dear Guest, looks like there is an outstanding payment for your reservation. As per the payment policy, you are required to make this payment before proceeding to check-in"

Step 4: Guest Info
This will be where the Guest would be required to actually fill up the information, which shall include the following:
a. Guest Name
b. Contact (Mobile, Address)
c. Date of Birth
...
(guest related fields can be same as that of the GRC form)
Note: This process will be iterated for all guests defined in the reservation (configurable)
Step 5: Terms & Conditions
It is here that the user will be shown the Terms & Conditions related to check (same as that of the GRC form). Guest will be required 'sign' the terms & conditions & click to 'Complete Check-In'
Step 6: Confirmation
User will be shown a confirmation message, assigned Room Numbers and the steps for proceeding at the Front Office.
Step 7: Additional Info
User shall be prompted for 2 options at this stage:
(note: this can be custome designed by hotel on website & link can be embedded here)
(note: this will lead to another application, called 'In-House Concierge')
FRONT OFFICE WORKFLOW
i. Front Office shall be shown an icon on the 'Smart Chart' indicating 'Today's Check-Ins'
ii. Count of all Reservations who have completed the Self Check-In process, will be shown has a subscript over the icon.

iii. Clicking on the icon will open up a panel/pop-up on the smart chart, which shall list down all reservations due for check-in today, with their respective statuses. Statuses shall be as follows:
- Web Check-In Complete
- Due for Check-In
- Checked-In (Keys Issued)
iv. For all reservations showing 'Web Check-In Complete' or 'Due for Check-In', FO users will have the following 'action buttons'
Verify Details
With this action user will be able to go the the respective reservation
Check-In
This action will trigger the key card generation work flow (same as that on Bin Card)
v. For all reservations with status 'Checked-In' the only action button available would be 'Verify Details'
Assumptions & Key Decisions
i. Config for validation of all guests or one guest per booking or one guest/room
ii. Config for validation of guest info (name, email, mobile, DOB, ID)
