Salesforce Partner

Requirements – Non negotionable
The link must be triggered by the order activated Not opportunity Won
Use Object Mapper to link so there is no additional cost
No monthly charges for the link or ongoing costs
We will not be developing salesforce, changing processes for the integration
Needs to be complete by June 21st 2020 at latest as Sage cut off is 21st July so whole implementation needs to be complete by then
Current Set up
Multicurrency
Products have multiple buy and sell prices in different currencies
We have stock and none stock items
Accounts and contacts must be pushed through to Xero
Require a way to prevent duplication

Open Sales invoice in sage
Invoice can be posted to correct ledger account
Printable Invoice doc – formatted correctly

Scope
1. Integration to Xero when Orders (in Salesforce) are marked as Activated
a. Checks for an Account / Contact on Xero based on a unique reference in
Salesforce (field to be created). If Account doesn’t exist in Xero, then
this will be created.

b. Create Open Invoice in Xero , relating to the Customer
Account.
Push account information from the sales order in Salesforce to Xero
Contact
Auto populate date created – Invoice Date
Fill out the invoice due date base on customer terms
Reference Field – Customers PO number
c. Create Invoice line items in Xero
Push through product (inventory item) quantity and unit price through from line items in salesforce at correct currency
i. Check if Products exist (based on Product Name in Salesforce)
ii. Link to relevant Invoice header Via Account information
When a new product is created in Salesforce, pass this to Xero to create in
Inventory Table
a. If Products in Salesforce are updated (name etc), then reflect this
update in Xero
b. Cleanse the existing Product Data in Salesforce to remove duplicates
c. Implement Workflow Rule and Validation in Salesforce to prevent
duplicates being created in future.
Org backup review and advice summary
Update the sandbox
Deployment, Preparation, Go Live and Review Calls
UAT
Initial testing to be completed in Sandbox environment
