Bespoke programme needed for stock control

We are an ice cream van business with around 40 units. We would like to improve our systems for tracking stock, both on an individual van basis and overall to include our wholesale and manufacturing arms (which are currently tracked through quickbooks). Currently a sheet is filled in by staff on a daily basis for each van if it is trading that day (see stock sheet as attached). I then use an excel document (too large to attach here) which mirrors the paper sheets, this can check that that days stock within each van corresponds to the previous days, (staff are rotated to try to ensure stock counts are correct) and staff calculations are correct.
What the excel sheets cannot do is carry forward closing stock more than one day i.e. if the van has not been out for a day or two, or from week to week. It does not tell me if there are any patterns emerging where particular people are regularly miscounting stock. It also cannot take into account new stock that is added when overnight restocking occurs. I would like to be able to facilitate our restocking of the units, for instance by producing a list of what stock each unit needs for the stock man to work from (bearing in mind we have several different types of vans which do not have the same capacity for stock). We use quickbooks accounting software which exports to excel, is there any way to link the stock facility within quickbooks which currently tracks wholesale orders, our own manufactured stock and bought in stock, i.e. lollies, cones. This would help with monthly stocktaking.
If I pass the inputting of data onto the excel sheets to other office staff they regularly delete formulas by mistake and generally make a mess of the whole thing. If the system can be simple to fill in then an unskilled member of staff could input the data immediately as the vans return on an evening and produce the restocking list. Hope this all makes sense, please contact me if you require further clarification.
