Hello,
We are currently using Suite CRM which I have slightly customised to suit our needs. We are now looking for someone to help us further customise the software to really automate our office admin tasks. Please see below a list of customisations and integrations we need to make / the booking process for our customers.
1. Customers Enquires on our website through a form.
2. Customer is sent an automatic sequence of emails to suit the fields they filled in with their form.
3. Customers details and email behavior (i.e email sequence, open rate, etc,) is all recorded in SuiteCRM and Mautic.
4. If they are a "strong lead" (for instance they have opened our emails or have called us up) we will either follow up via call or send them a custom package via email if required.
5. If they would like to book, we will take down the additional details over the phone and then click the "convert lead" button in the CRM.
6. When we click the Convert Lead button, we need the CRM to automatically create them as a "contact", automatically send them an invoice, and automatically create a calendar event with all their party details in our Google Calendar. We would also need it to automatically send them a text message confirmation.
7. Automatic follow up invoice reminders if they do not pay their deposit within 2 days.
8. Automatic email or text 3 days before their event to let them know we are all good to go and confirm their details.
9. Automatic Text Message to our staff 2 days before event to remind them about the event and the details.
9. Automatic Email or text the day after their event to get feedback
10. Automatic email or text follow up 10 months after their event to see if they would like to book again.
We are currently using the below programs in our business, however we will need them all to be integrated to each other:
- Suitecrm
- Mautic (email Marketing)
- Quickbooks (we are not looking to pay for an integration every month with this. We are wanting to use an integration that is free or coded for us so we can use it forever)
- Google Calendar
- G suite (email / Drive)
- Text Messaging - currently using our own phone. we do not have any online software for this yet.
We would also require the below customisations to the CRM:
- ability to use the "global search" feature, as ours is currently not working.
- automatically remove clients from follow up emails or call backs when their lead is "converted".
- REPEAT CUSTOMERS - Come up with a way for us to create new bookings for repeat customers who have already been converted in the CRM. For instance, someone books a party on the 1/1/18. then they want to book another party on the 1/2/18. How can we use their contact that is already in the CRM but still create a new booking for them with all the automatic processes above.
We already have the below items done:
- Email templates and text message templates for all the automatic follow up messages and emails
- downloaded Suitecrm onto our server and done some customization work.
- a quickbooks and g suit account.
- integrated mautic and suitecrm.
