We have developed a web-app to survey groups of people quickly and simply every week. I need a reporting model that enables us to build a weekly graphical and text report that updates every week and is sent out to the users every week. Copy of report attached.
Each group is distinct and will need their own email/password when submitting and accessing their data. Intuitive ease of use is critically important.
Ideally we will also be able to automatically email two reminders to complete the survey every week (thursday and friday) plus a monday email which takes them to (or delivers) their report.
I envisage a web-based reporting function for ease of access any time anywhere. May turn into a phone app if it proves popular.
Complexity comes from the three levels of confidentiality which the users choose when completing each survey question (11 questions - 4 numeric - 7 text based) reduced to two if need be for economy/simplicity. Also we could remove it from the numbered answers so everyone can see the graphs. Confidential answers only accessible through the admin login held by MD or HR director. Public is in the report going to every registered team member
My thoughts are as follows (see attached excel sheet):
1. Questions 1,4,7, 10 – on one graph four coloured lines showing the a graph over last 13 weeks (-12 -11 -10 -9 -8 -7 -6 -5 -4 -3 -2 -1 last week) – clarity is most important. Names of those submitting survey and names of those not submitting survey clearly indicated.
2. Individual Scoreboard has one graph with four coloured lines for each person in the team showing 7 week trend plus 7 boxes with text answers to the word-based questions.
3. where there’s no submitted report leave column/graph blank
Reporting process:
4. Standard, personalised email every week prompting completion of TeamSense – thursday and Friday lunchtime – if html email then survey can be included in the email – plain text option points to web page – email to be from the managing director of their firm.
5. Administrator is pointed to web access where the excel can be downloaded/seen and they can also see the information that has been submitted as confidential (only on their login).
Happy to share the survey web page when your credentials are established and an NDA has been signed.
Naturally if you have any additional questions please ask. You will not get an instant response to your questions as I am mostly in meetings during the day.
