Introduction:
We are a small private investigations and process serving company. We need a more efficient system for managing cases. We currently have MS Office Professional 2007 and would like to use this software to manage our cases. However, we are open to any suggestions from vendors.
Requirements:
The system would include:
• A start window for generating new cases (to include: Case Number, Client's Reference, Client name, Type of client (e.g. solicitor, inter-agency, private company, private individual), Type of assignment (process service, trace, surveillance, background check, witness statement, miscellaneous), the agent/contractor the assignment is allocated to, Date received, Date of any hearing, Last day of service, Return by, Returned, Closed).
• A client and an agent/sub-contractor database (either inputted as a new case is generated or/and directly through the databases).
• The system should be searchable under client, agent/sub-contractor, case number, client's reference, area or post code, who the job was allocated/sub-contracted to. It should be able to list all live and closed assignments for a client and all live and closed assignment allocated to an agent/sub-contractor.
• To be able to list possible agents/sub-contractors that cover the area/post code that cover the area/post code the enquiry is based in, as the assignment is entered into the start window.
• To be able to set reminders/alarms (e.g. x days from receiving or allocating a case. Or x days from any hearing date).
• To be able to automatically generate a folder/directory/sub-folder for a new case and/or link to the folder/directory containing reports for the case.
• Print a sheet to place on the front of the hard copy file containing:
Case Number, Client's Reference, Client name, Type of client (e.g. solicitor, inter-agency, private company, private individual), Type of assignment (process service, trace, surveillance, background check, miscellaneous), the agent/contractor the assignment is allocated/sub-contracted to, Date received, Date of any hearing, Last day of service, Return by, Returned, Closed.
• Print a standard letter which uses the subject's name and also adds a reference number to the letter using the post code from the subject's post code and our reference number taken from the automatically generated case number e.g. post code/ABC123.
We should be able to review and amend before printing.
• To be able to easily add to the fields or expand functionality at a later stage.
Fields to include:
• Client's details (their reference number, firm, address, DX, tel, fax, email, web, notes) - additional contact name for each assignment (including mobile, email fields)
• Type of client (solicitor, inter-agency, private company, private individual, other)
• Type of assignment (trace, process service, surveillance, background check, witness statement, miscellaneous)
• Subject of enquiry's details (name, address, area, post code, contact numbers, note)
• Area and post code assignment is based (e.g. London, E14)
• It would be extremely useful to be able to search/link to the agent/sub-contractor database to see who we could allocate the job to and list all assignments allocated to the agent, all closed, all live) The same search facility would be useful for the client too.
• It would be useful to have an icon on each window that would contain some notes explaining how to use that window or be able to add our own notes
Accounting:
• To be able to generate an invoice for each case, automatically giving our case number, invoice number, client name and address, client' reference, client VAT number etc, subject of enquiries name, and a box for us to fill in further details of the case.
Also to be able to generate an invoice for multiple assignments for a single client, automatically giving an invoice number, client name and address, client VAT number etc, then in a list: our case/reference number, client's reference, subject of enquiry's name, price.
