We have had a Microsoft Dynamics system created for us and wish to add on to it.
We are an educational service provision company. We are using the system to book in sessions, timetable staff, create staff records, calculate staff hours, calculate staff mileage when traveling to teach, create printed timetables for staff complete with brief reports for each session and send out automated emails to existing customers and prompt sales staff to chase these emails....
The Add ons consist of the following... PLEASE QUOTE ON EACH ELEMENTS (A-D) SEPERATLEY
A: Add on to mileage to include appointments
B: Holiday Club booking
C: CRM
D: Spider Web
Our business deals with the management of peoples time.
We are looking for a developer to extend a specific function on our Microsoft Dynamics CRM system. Staff are required to drive either from home, or our office to educational \'sessions\',to appointments. Please note, the majority of the code/functionality is there,
we ONLY require a quote for the information listed under \'ADD ON...\' below.
The software currently calculates mileage for staff via google maps who are
teaching sessions at various venues..
For Manchester based Staff, mileage is calculated from the employees home to the
session and back again via google maps. The amount of miles is then
multiplied by the mileage rate in the staff record. However an employee can
have multiple sessions in one day so there is a tick box where we send them
on to the next session. Or if too much time is in between them we do it as 2
separate journeys.
For non-Manchester based Staff, mileage is calculated from the office or their home
(which ever is closest the venue) and back to that point. Unless they have
another session (manually linked by a tick box). They then return back to
the office if a tick box is ticked or home (if the home box is ticked the
mileage value of office or home - whichever is nearer is used)
ADD ON...
The add on we require a quote for is so that sales appointments can be added
to the staff calendar and Mileage calculated from it. THIS ONLY APPLIES TO
STAFF WHO ARE \"SALARIED\" within the staff record.
Please note within this we would need to be able to manually tick whether
the appointment was attend from home or from the office. And at the end of
the day if they went home or back to the office. Other factors include that
staff may go from an appointment to another appointment and so on or come
back to the office in between. To further complicate a member of staff may
also teach sessions so it must link to the current mileage system.
PLEASE NOTE WITH SALARIED STAFF YOU SHOULD DEACTIVATE THE HOME/OFFICE
CLOSEST TO OPTION (ONLY THE FIRST AND LAST SESSION OF THE DAY SHOULD HAVE
THIS OPTION WHICH WE MANUALLY TRIGGER. EVERY OTHER JOURNEY SHOULD BE FROM
THE OFFICE OR COMING FROM SOMEWHERE ELSE)
Please quote this as a separate... A report must be available so salaried
staff can see the appointments and sessions they have on a given day.
B Website Holiday club Booking form
Basically we work for a number of LEAs, each LEA is then split into areas. I want parents to be able to book kids on to a holiday club online. So they need to be able to select their LEA, then their area. We will list each holiday club we have running in that area and they will select the club they wish to attend and they days and if AM or PM. The system should then make sure space is available, allocate them a space. They fill in an online consent form and the parent gets an email confirming the booking, a booking reference and some more info. We get an electronic consent form, and a register. When the club is full the system emails us to let us know.
A reminder email must also automatically sent 3days before the holiday club to the parents.
We should be able to put certain rules in such as age range when creating the club. If a parent tries to enter a child who is too young an error message should come up.
The system should create a database of the children so we can use it to market future clubs.
An option on the form should be does your child receive free school meals (this may result in a different confirmation email being sent)
Please itemise the below query as may not use.
Also a field should be available within the form where the parents select the school their child attends. The option of \"other school\" should appear. (Junior Jam should have the choice to switch the following off as well as on) If other is selected then the parents confirmation email should say you are on the waiting list for this club as schools within the local area are given first choice. We will contact you via email on the XXXX to let you know if have a space. If the club is not full the system should select the first people on the waiting list to come.
PLEASE NOTE WE WANT TO BE ABLE TO ADD AND REMOVE CLUBS FROM THE OFFICE AND DO AS MUCH ON THE DESIGN SIDE AS POSSIBLE... WE HAVE DREAMWEAVER AND HAVE GOOD SKILLS WITHIN THE OFFICE TO DO THIS.
C CRM
We are looking to beef up our CRM. Currently we have 4 staff that call prospective customers from excel files. The lists can be broken into 3 groups, Primary schools, secondary and LEA\'s Contacts. These are then further broken down into Areas (local education authority areas) with a separate spreadsheet for each area. Each prospective may have a number of contacts (eg head, PE co-ordinator, music co-ordinator). From here they then aim to get an appointment.
We would like to store all this data on to Dynamics. From the appointment or a customer contacting us we would like this to create a lead where we can track opportunities. A fact find form should be input from any meeting asking certain questions, from here more opportunities should be generated. We should be able to monitor contact and the system should prompt the appropriate agent to call or email. The system should also be able to fire out targeted emails to prospects and mail merge labels.

D Area contacts spider web
We work across a lot of LEA\'s. Different agents have different LEAs with some having several. We would like to create a spider web diagram that shows each LEA (on its on screen) and some main contact points for each cluster within an LEA and how they relate to each other. From here this should link to the existing systems. The purpose of this is so an agent can know the schools, and LEA contacts within its area and be able to name drop schools we have worked with in that area. Also within the LEA\'s it will highlight links we need to make.
