Part-time Executive Assistant for Managing Director in the Music Industry
15 Hours per Week (with a possibility of increasing those hours over time)
Hybrid Working - remote and from our Bristol (UK) office
We are looking for an experienced, detail-oriented, and efficient Executive Assistant to support one of our Managing Directors who has ADHD. The successful candidate will work closely with the Managing Director, supporting them across a wide range of day-to-day tasks.
The ideal candidate will possess excellent organisational, communication, and problem-solving skills, with a strong ability to prioritise tasks and manage time effectively.
This role requires a proactive approach, with the ability to anticipate and address issues independently. Familiarity with Google Workspace and Zoom is essential.
Above all else the successful candidate will be charged with supporting the MD with managing the challenging effects of ADHD in their role, wherever those challenges come up. With that in mind, the responsibilities include (but are not limited to) the below, but a proactive approach to spotting problems and offering support will be key to longer term success in the role.
Responsibilities:
Assist with inbox management, creating a more efficient process to manage large amounts of incoming emails and accurately filtering relevant information.
Discuss (where necessary) and respond to questions from clients and members of the team.
Support the MD with prioritising tasks effectively, focusing on the most time-sensitive tasks first.
Promptly accept and manage diary appointments.
Book travel flights, trains, transfers and accommodation - find best deals and ensure there are no scheduling conflicts.
Accurately record and execute both verbal and written instructions to minimise repetition and ensure efficiency.
Take notes during meetings and support the Managing Director with setting and communicating action points and deadlines where necessary.
Anticipate and address issues proactively, such as managing double bookings and client communications.
Provide clear and concise written updates and actions in bullet points.
Requirements:
A strong ability and desire to protect the time and mental bandwidth of the Managing Director is essential.
Must be able to work from our Bristol (UK) office when needed.
Confidence using Google Workspace (especially Gmail, Google Calendar, Google Docs and Google Sheets) as well as Zoom is essential.
Experience of Xero and Canva is not essential but would be an advantage.
An understanding of the music industry and ADHD is desirable but not essential.
