Description
Experience Level: Entry
I am looking for an event assistant who is available on the 25th October to provide onsite support in London for a well-established business conference.
You will play a pivotal role in ensuring the success of our upcoming event. You will collaborate with our existing team to seamlessly transition responsibilities and manage various aspects of the event execution, from venue liaison to delegate and speaker management. Your expertise will be crucial in ensuring the smooth running of the event and providing a successful event for the client, speakers and delegates.
There will also be some pre-event work in the run-up to the event, including:
- Collaborating with the existing team member to ensure a seamless handover of event responsibilities.
- Liaising with event venue staff to coordinate logistics, setup, and breakdown.
- Managing speakers, ensuring they are well-prepared and adhere to the event schedule.
- Support in the development of event documentation, including materials for attendees, speakers, and staff.
- Overseeing delegate management, including registration, inquiries, and on-site support.
- Possible support in the creation of engaging social media content leading up to and management of social media during the event.
- Management of the event agenda, ensuring all sessions and activities run on time.
- Proficiency in on-site management, handling delegate arrivals, troubleshooting issues, and serving as the key point of contact for all on-site matters.
Requirements:
- Proven experience in event management, preferably in corporate settings.
- Strong organizational skills with impeccable attention to detail.
- Excellent interpersonal and communication skills.
- Ability to thrive in a fast-paced, high-pressure environment.
- Proficiency in problem-solving and making real-time decisions.
- Familiarity with social media platforms and content development.
- Flexible schedule to accommodate the 2-3 week period leading up to the event.
- Willingness to travel and work on-site during the event.
