Context
Centre for London is a politically independent, not-for-profit think tank and charity focused on the big challenges facing London. We produce research and events to inform London’s leaders and policymakers as well as the general public. Our flagship event is the London Conference, but we are branching out to produce half-day conferences on more specific topics in partnership with other London institutions, businesses and media partners.
PURPOSE
The Conference Producer will be responsible for researching, developing and delivering a high-quality half day conference on the topic of urban development in Stratford, likely to be held in the Olympic Park. The role will be specific to this event, with the ability to set your own hours and days within reason. You will own production of the conference but coordinate with Centre for London’s small core team to obtain key information and ensure smooth delivery. This means that at times you will need to work from Centre for London’s offices in Chancery Lane, or from the venue site in Stratford. You will define the programme and content of the the conference (in consultation with sponsors and with the support of our research team), secure high-level speakers and sponsors, market the conference to an invited audience, create the production plan, and run the event on the day. You will be responsible for event administration at all levels, with some support from the Centre for London team.
Principal tasks:
• Programme development, sponsor relations and fundraising – Work with principal sponsors to develop the programme for the day, to secure additional funding and to integrate speakers into the planned discussions
• Programme management – prepare event schedule, identifying critical path activities, dependencies and critical actions, and monitor implementation
• Speaker and Delegate Acquisition - sourcing, selecting and securing the participation of high level speakers and approximately 200 delegates
• Budget Management – monitor costs and identify savings opportunities where needed to deliver within budget
• Copy Writing – compose copy for conference programme, website, invitations and speaker briefings to drive delegate and sponsorship engagement
• Event management –planning, procuring and managing resources for the event on the day
Behaviours and Knowledge:
The candidate will be an experienced manager of events of this scale and be target and deadline driven. They will have intellectual curiosity and a good capacity to learn and absorb information.
They will require superb organisational skills to manage a number of tasks and priorities at one time and be able to take accountability for deliverables on a day-to-day basis.
We would also appreciate someone who will fit well with the rest of our team. In the right candidate, this might manifest as having an interest in London policy and politics, being proactive and entrepreneurial but enjoying collaboration with colleagues and sponsors, and/or having experience with the Stratford area or the 2012 Olympics.
Success Measures
• Delivery of individual conference targets – measured on sponsorship and event delivery
• Meeting key project deadlines for sponsorship, speaker recruitment and briefing other teams
• Ability to secure high quality speakers
