Excel spreadsheet design

Description: 2 basic designs of excel spreadsheet to help speed up data entry.
1) price list - when we enter a part number we want the cell to recognise the part and enter the correct price from another spread sheet.
2) invoice / profit trail - design a basic spreadsheet which selects the correct profit from 1 cell and auto input it into another cell.
There may be other advice you can give as we are a small company not ready to invest in a software package so we use excel to create quotations and record company data such as order book, invoice out margins etc.
We have basic excel skills here so need a more advanced level user to assist.
