We are a full service communications agency looking for external support to provide a client with a new website. The brief is as detailed below and also attached as a word document.
Introduction
Role of the webiste
Inform
Provide access to our strategy, service promotion, reference materials, media releases, annual reports, legal and policy documents, etc.
Process payments
Online transactions, credit card payment, direct-debits, etc.
Support operational activities
Field enquiries, deal with housing repair requests, process job applications, self-service for keeping personal details up to date, checking rent balances, checking progress of repairs / general requests, Complain/compliment: Feedback , Reporting fly-tipping and antisocial behaviour etc.
Enable/support community interaction
Portal format, partner extranet, forums, group email, etc.
Facilitate events
Distribute event schedules, process bookings, Register for meetings and events
etc.,
• Secure areas
We require a secure are of the site for Board Members to access confidential paperwork and a secure area where designated staff may access business continuity documents. . This area of the site must be absolutely secure and there be a guarantee of no risk of compromise.
Requirements
NCH has identified the following elements as being essential to the success of the new web site:
Givens
• The above functions and transactional abilities
• Development will need to take place in Microsoft SharePoint 2010
• Workflow / Content Management will need to be in place, linked to NCH Intranet site (SharePoint 2010)
• A portal approach is needed (Unique log on for residents)
• All current informational and transactional (baseline) website activity will be needed on the new website
• Proposals must be returned by 27th January 2012 and the newly developed site must be in place by 1st April 2012
• The design of the new site must be vibrant, innovative, conform to best practice and utilise access protocols (for visually impaired, hearing impaired etc.)
• Areas of the site will need to be presented in English and Welsh
• Integration with our CRM, and Looking Local applications must be addressed
• Access via. Mobile devices must be addressed
Implementation / Support Needs
• Prior to the final design being signed-off, the successful partner will need to conduct a survey of our residents (a discrete number, with contact details have been identified), the results of which will inform the design and functionality of the new site
• All design will need to be undertaken in conjunction with NCH staff and a working group of residents
• The successful partner will be required to support us during the transition from our current position to implementation of the new web site
• On-going support and maintenance will be required
• Access must be available for NCH to update own content
• A photo-gallery is needed (Photo gallery for public and separately for press and media)
• Integration with our call centre technology, telephone system and social media will need to be addressed
• Provider to cost for training to gatekeepers quarterly
• Unique history of interaction for each resident
• Interactive news area where residents can like or comment on an item
• News area integration with potential Facebook site, Titter feeds etc.
• Video and streaming capability
• Compatible with touch screen kiosks in reception areas
• Involved resident area and email account
• Involved resident time recording sheet
