Objectives:
To provide TLC a website which will meet the following requirements listed below
The website will be provided to the agreed cost (stated below) and to the agreed time scales (stated below)
Provide full SEO set-up and implementation including White Hat and Meta tag techniques – Cost of this SEO implementation has been outlined below but is included as part of this agreement.
The appendix form part of the agreement
Content to be extracted from current Development Website – Files have been provided.
Mandatory:
• Use current Menus structure (See Appendix also)
• Use current sub-menu structure, a few more pages might need to be created before project completion e.g Builders clean / End of tenancy clean (Not main submenus but possible side bar menus)
• Copy Text will be provided by TLC but please use the current content for the time being
• Key Words – See Appendix
• Use template: http://www.joomlart.com/demo/#joomla17-templates.joomlart.com/ja_edenite
• Logo – use current TLC logo from www.tlcdomesticservice.co.uk – Blend white background into colour of website template – Paintshop / Photoshop
• Transfer site to our domain name before completion of project to ensure full approval and trail run of new website is complete.
• Provide stock images from: http://www.istockphoto.com/photo as part of the service. Estimate 5-10 large images, 20-30 small – medium images.
• Ideally a Joomla based software to allow future content changes by TLC (CMS)
• Colour theme of site – linked in with our logo – these must be: Red – Carpet cleaning, Blue – Domestic Cleaning, Green – Other Services
• Agree background colours – recommendations welcome
• Home page adverts promoting our ECO clean service and Online Booking System
• Rolling 'showcase of images' 4-6 images on our home page with key USP's over the top – USP’s will be provided as they are relevant to the type of photo.
• Online Booking system - See more below and Appendix.
• Map - Google location map for areas we cover (post codes provided in Appendix)
• Testimonials - rolling testimonials on home page with star feedback ratings - Testimonials to be provided by TLC.
• Blog - log in page for people to (via verified email accounts) leave comments against our hints and tips sections. We will provide the content but allows the user to leave their own tips within these sections.
• Videos - linked via our hints and tips section.
• Links to our facebook / twitter / linked in accounts and allow users to click 'like' under hints and tips sections they might want to share – Account details provided in Appendix.
• Enquiry form - Name and Email address on all pages for data collection and quick enquiries.
• Full SEO implementation and set-up to the website which include White Hat, meta tag techniques, key word search, page rank, google trust content (Blogs / online journals / Business directors, Social media sites – Facebook / Twitter / Linked in / Youtube / Tumblr, Foursquare/ Digg / Reddit / Friendster / Orkut / Myspace – Will create these and pass over the passwords and log ins.
• Easy to read and follow. Customers quickly know what we are selling and can process an action (booking) promptly.
• Free hosting of website for 12 months.
• Creation of email address for the domain (see Appendix)
• Customers can leave feedback directly on the site but approval from us via email will be required before content is published.
• Remote online email access
• Provide a Google analytics report on 1 / 3 / 5 months of the website going live to prove the SEO implementation and provide analytics link for TLC to monitor the site traffic.
• Emphasis on key words: Carpet Cleaning & Domestic Cleaning
• Search functions on the Hints and Tips page and FAQ page.
• Security ‘Captcha’ )Human test to avoid blanket junk emails)
• Full mobile access to allow easy use on Smart phones
• Access to via Joomla log in for access to view the ‘back end’ of the website is recommended
Online Booking System Mandatory requirements:
• It has been recommended that the latest version of this software will be used:

• A log in section is required for existing customers or a register section for new customers.
• The user will be able to see our calendar of availability and book a particular starting slot based on their required date. The minimal slot will be 3 hours and will run from 8am to 5pm Monday – Saturday.
• The slot can be assigned an availability quantity for repeat bookings
• The ‘back end’ of the calendar will be monitored by us so we can ‘block out’ dates which are staff are unavailable.
• The software will automatically ‘block out’ dates and slots which are fully booked.
• Once the user has selected the date and time from the calendar they will use a selection criteria –
1. Domestic Carpets
2. Domestic Cleaning – Regular
3. Domestic Cleaning – One Off
• As the user selects one of the above the parameters below will change as per the price structure listed in the Appendix. The parameters will allow the user to populate with 0-5 the quantity requirements associated with their house i.e. No of Single Bedrooms (222X222) x 2
• Supporting comments / instructions may need to be added to support the customer in navigating the booking system
• The user would select the requirements and the cost would be generated for the price for this booking – Price will reflect the cost matrix in the Appendix.
• An Online payment deposit via PayPal of £5 is required for every booking. This must be linked directly into the booking system.
• The user has the option to make the full payment of the £5 deposit.
• PayPal account can be created by TLC.
• The booking system must know the current date as all bookings must be 48 hours in advance.
• A terms and conditions box would need to be clicked and linked to a page for the user to read before committing to the booking – this must be done before making payment. Terms and conditions here will be provided by TLC.
• The user will confirm the booking and receive an SMS and email confirmation of the booking.
• We will receive a SMS and email message with the full details of the job – this is then sent to our staff by TLC.
• Once we have fully booked the job with our staff we are able to access the bookings system (back end) and send a final confirmation message to the customer with details which will include: Date, Time of arrival, staff members name and our contact information. – Updated details might be provided here also.
• The booking system must allow our staff to populate the booking system online while making a phone booking. This will use the same Calendar of information to check availability etc.
• The booking system needs to be simple and allow the user to make a booking in a few minutes.
• Use of coupons or discount offers with promotional codes.
• A way in which we can capture data from all bookings and allow us to manipulate this data to record number of jobs in particular months, regular clients etc. i.e data extraction into Excel / Access database.
• Creation of Joomla admin accounts and management account to allow staff to view, edit and change bookings on the booking system but not adjust the website itself.
• Remote access to booking system via mobile app would be an advantage.
• SMS Gateway will be paid for my TLC – It has been recommended that http://www.clickatell.com is to be used.
