We are an SME with 4 users of Sage 50 Cloud and looking to move our accountancy package this year, possibly to Xero. Before we decide, we are looking for someone to review how we currently use Sage and advise whether Xero can offer all the same functionality we have in Sage and also show us if Xero can offer us any functionality we currently don’t have/don’t make use of with Sage.
• We run recurring orders/invoices but use an external Access database for this as we found Sage to be unduly clunky. We currently generate the invoices each month and then import them via .csv into Sage using Adept CSV. We also use this database to generate our revenue recognition values each month, which don’t necessarily fall in line with invoicing.
• We link supplier invoices in Sage with a bespoke Filemaker CRM system in order to give us an invoice approval system and use this system to generate our payment runs.
• We run consolidated management accounts monthly ( in 5 companies) which we do in Excel currently, so it would be advantageous to be able to do consolidations in the new software if possible.
• We also use an external expenses platform (Pleo) and a direct debit platform and import transactions for both into Sage used Excel2Sage.
• We use Sage Payroll as a stand alone package and have c 35 employees on the payroll (1 company only) and will require this in Xero.
The engagement will require the successful bidder to spend time (maybe 0.5-1 day?) probably via Teams or in person (in Hampshire, UK) being shown our current setup and understanding all aspects of how we use Sage.
The output of the engagement will be a short document (a few pages long) identifying the complexities, opportunities and downsides of migrating, together with a follow up meeting where we will be able to discuss this document and ask for clarifications.
