Ad Hoc Book-keeping & Accounts Management

Some of you have asked for a more detailed breakdown of what I envisage the work to entail, so that you can provide me with a more detailed proposal costing individual elements and then on an hourly rate going forward.

This is not a fixed cost project, but will be a regular weekly task going forward so please only apply with hourly rates.

Context:
The role is for a Xero certified accountant to help the CEO manage the finances of Hatching Dragons, the UK's first bilingual Mandarin-English early years model.

Required work:
- Spend 1 full day with the CEO going through the financial model to better understand the business
- Spend 1 full day with CEO reviewing the business' Xero accounting structure and restructuring where necessary
- Spending 1 full day developing the business' budget through Xero platform and to help CEO understand how it can be used as management tool for forecasting / scenario management.
- Should above not be feasible, to review, help modify and then control the financial model (excel) of the business to provide the strategic function required for financial planning for the Management
- Assist CEO and management automate as much of the day to day admin of expenses / receipts using Xero integrated software solutions (e.g. Shoeboxed) so that time is used effectively
- Design / develop pro forma financial / budget reports for board (monthly) and investors (quarterly) to be generated through Xero
- Ensuring Xero and nursery management and other transactional tools (possible online booking systems etc) are well integrated and effective, possibly to advise on what we can use for website based transactions etc.
- Possible VAT / Tax structuring advice - the business could well restructure quite soon to ensure that we can recoup VAT expenses (nurseries are exempt, which means we cannot charge, nor recoup VAT, making building works and procurement 20% more expensive than it need be).

Expected time commitment:
- Front end work 1 week Full Time (financial model review / Xero review / modifications / embedding)
- 1 day / week (8 hours / day) thereafter

Skill sets / qualifications:
Tax / VAT expertise preferable
Xero qualification - essential. We use it as our accountancy package so proficiency is a must. You will be expected to help the CEO use it as a management tool and a forecasting tool (budgeting etc)
Management Accountancy Qualification - either existing or qualification in pipeline from certified institution (CIMA / ACCA preferable)
Experience - demonstrable experience / track record in providing financial support elsewhere - any with strategic experience working with nurseries will be at an advantage.
