Description
This is an initial fixed-price project with a budget of £400.
The work includes:
* Configure one central HubSpot CRM using Companies, associated Contacts and Deals only for genuine active opportunities.
* Create a simple sales pipeline, tasks, essential properties, saved views and a basic dashboard.
* Import and deduplicate approximately 439 priority companies and their associated contacts from an existing spreadsheet.
* Preserve the existing ownership allocations between our salespeople.
* Create flexible business, product and campaign categories for Modern American Advisor, Women in Finance, Presence, Alynd, Operating to Scale, Future Proof, PlayVerto and future projects.
* Configure appropriate user access, with complete visibility for senior management and restricted access for other users.
* Connect and test Microsoft 365 / Outlook.
* Complete three representative test records for approval before performing the full import.
* Provide a short administrator guide and a 30 to 45-minute handover session.
The core structure and three-record test should be completed as quickly as possible, ideally today, with the full import and handover immediately afterwards.
Applicants must have demonstrable, hands-on experience configuring HubSpot, creating properties and pipelines, importing and deduplicating CRM data, and setting user permissions.
Please state clearly in your proposal:
1. Your relevant HubSpot experience and examples.
2. Whether you can start immediately.
3. Your realistic completion time.
4. Confirmation that you can complete the initial scope for the fixed £400 budget.
An NDA and individual, revocable system access will be required. Shared passwords will not be provided.

Hi Alex,
We’ve reviewed the scope and understand that you’re looking for hands-on CRM implementation rather than a recommendations exercise. Our relevant experience includes a custom commercial CRM that covers lead/opportunity management, client records, assignments, dashboards and role-based access.
Your approach of validating three representative records before importing all 439 companies also makes sense, as it allows the mappings, ownership and associations to be confirmed first.
One quick question: does the existing spreadsheet already contain a unique identifier for each company (such as the company domain/URL) and clearly identify the assigned salesperson, or will duplicate matching and ownership need to be derived from the existing data?

For duplicate companies, should matching be primarily based on company domain, or would you prefer company name and other fields to be considered as well?

Hi Alex, for deduplication, should the company domain be treated as the primary unique key, and how should subsidiaries or brands that share a domain be handled? That decision affects how we structure associations and avoid merging records incorrectly.
To begin immediately, we would need the source spreadsheet, individual HubSpot access, the salesperson ownership/user list, any required permission rules for management versus other users, and access to the Microsoft 365/Outlook account being connected.
