Experience Level: Entry
We have about 40 arch lever binders of archived invoices that we need scanned. Each holds between 150-300 invoices.
- Each invoice is ONE PDF file, so if it's double sided or multi page (or had delivery notes or purchase orders stapled etc) then this becomes 1 PDF file
- Most invoices are 1 side of a4 (over 70%)
- some invoices are small so have been stapled onto an A4 sheet for filing into the ring binder. - The images do NOT need to be cropped, A4 is fine.
- Quality needs to be reasonable as we intend to OCR them afterwards, so some care is needed, but our OCR software can rotate etc.
- The PDFs need to filed into directories and named according to the hand written sequence code - typically YY-MM-SSSS (that's Year - Month - Serial sequence number). Do the scans will be filled into a directory structure of \Binder\yy\mm\ssss.pdf
As the paper files are bulky and heavy we would rather this stick to the UK, and we can ship the files by courier anywhere within the UK. We are based in West London, but location is not an issue.
The invoices do not need to be returned to the binders, but can be stacked loose inside the binder. We do want to keep each binder as a "unit".
Timeframe are relaxed, but we would like regular progress, and to see it complete over 8 weeks or so. Sooner the better but no rush. We will issue the binders in batches and may split the job between 2 people. And will collect by courier the finished paperwork. The scans we would get uploaded onto a dedicated FTP account.
As the binders are varried in quantity of invoices, I have tried to give a budget per 250 (aprox average content), but the budget will be pro-rata where less or more in the binder.
So the Budget is per 250 invoices, pro rata
